• Ensure the maintenance Specifications are updated and ready in the system. Plan & monitor the Preventive & Corrective Maintenance. Practice Condition-based Maintenance to compliment Preventive Maintenance. Avoid wastages and focus on optimization in FM.
• Ensure maintenance work shall comply with the relevant Singapore Standards and Code of Practices. Ensure maintenance work shall comply with the company’s environment, health, and safety policies. Responsible for the Preventive & Corrective Maintenance work assigned by the Manager. Prepare corrective maintenance work order.
• Attend/report immediately on major equipment breakdown and equipment not performing to specifications or a building user having problem. Meet with tenants to resolve technical issues raised by the tenants. Adopt root cause analysis. Constantly monitor the KPIs specified by the Facilities Manager.
• Train & support the Technician to prepare simple maintenance work order.
• Audit the maintenance work carried out by the Technician and the external service partners according to the departmental policy.
• Actively participate technical training through onsite, offsite, and vendor training. Use the BIM, App or digital technology assigned by the company to facilitate communication. Hold regular meetings with the contractors.
• Act as the Site Incident Controller (SIC) – Leader for the first responders under the Company Emergency Response Team. Submit weekly facilities management report. Responsible for the additional tasks as and when assigned by the Facilities Manager.

Requirements:

• Degree/Diploma in Electrical Engineering or Facilities Management certifications with at least 3 years of experience
• Relevant experience in plant facility, building/property management operation & maintenance environment would be advantageous
• Highly motivated, independent and able to multi-task

As part of the Human Resource team, you will be responsible for executing the full range of HR functions, from employee recruitment, retention, engagement, performance management to employee relations and regulatory compliance. You will work closely with the HR leadership team to provide HR guidance and support to business units, in alignment with the organization’s goals.

Primary Responsibilities:

• Partner with Business Unit (BU) Leads / Heads of Department (HODs) in the management of employee life cycle.
• Support and participate in annual performance management processes, including providing guidance and advice on managing performance issues.
• Work with respective HODs on annual budgeting process, understanding each business needs with manpower requirements.
• Provide guidance for the HODs and employees on the application of HR policies, procedures, and standards.
• Execute administration processes related to the full employee life cycle, including but not limited to recruitment, onboarding, work pass management, performance evaluation, re-employment, and offboarding.
• Facilitate employee relations and respond to grievances, complaints, and conflicts effectively and compassionately.

Insurance

• Ensure timely and accurate processing of insurance claims submissions for employees in compliance with government regulations and company policies.
• Be updated on all company insurance policies, such as Foreign Worker Insurance, Work Injury, Maternity benefits, etc.
• Keep abreast on latest statutory requirements on required regulatory reports (e.g., Work Injury reports to MOM).
• Verify coverage, process policy updates, and issue certificates of insurance as needed.
• Process eligible claims by coordinating with insurance brokers, ensuring claims are submitted for reimbursements within the respective timeframes (e.g., be aware on the stipulated claim window by insurance vendors).
• Update monthly work injury report details to management.
• Liaise with and support in yearly insurance review and renewal.
• Keep updated on industry trends and regulations to ensure compliance.
• Coordinate with internal teams to ensure smooth and efficient processes.
• Perform other administrative duties as assigned.

Payroll

• Ensure accurate and timely processing of payroll for employees.
• Timely and accurate submission of bank transfers, CPF, statutory claims and income tax filing.
• Maintain payroll records and information in an organized and secure manner.
• Review employee attendance records and validate compensation information.
• Investigate and reconcile payroll discrepancies to ensure compliance with statutory laws and regulations.
• Respond to employees’ and team’s inquiries regarding payroll information.
• Timely and accurately prepare payroll reports as required.
• Collaborate with the HR team member to ensure timely receipt of employee data to ensure payroll deadlines are met.
• Keep abreast on latest statutory requirements that affect compensations (e.g., CPF contribution rate changes, tax changes).
• Perform other administrative duties as assigned.
