We seek an experienced Corporate Secretary to play a pivotal role in maintaining our organization’s integrity, compliance, and operational excellence. Reporting to the Executive Director, you will be a trusted partner to our leadership team, ensuring that all corporate and statutory requirements are met with precision and professionalism.

Key Responsibilities:

• Organize and arrange board and general meetings, ensuring compliance with the Companies Act and the company’s constitution.
• Act as a communication channel for non-executive directors, providing them with timely updates and support.
• Monitor emails for the CEO/ED, respond as needed, and prepare communications on their behalf.
• Organize and plan meetings, take notes, and draft minutes, ensuring compliance with company guidelines.
• Conduct research and prepare documents as required by the reporting manager.
• Schedule departmental meetings, assist in preparing and distributing agendas and materials, and transcribe documents for distribution.
• Maintain confidentiality and be the primary contact between the CEO/ED, Shin, and external stakeholders.
• Perform ad-hoc tasks to support Executive Office colleagues, including managing calls, email inquiries, and deliveries.
• Oversee the safe custody and proper use of the company seal and stamp for all entities under the Park Hotel Group.
• Ensure all official publications, notices, and business communications carry the company name and Unique Entity Number (UEN).
• Support overseas operations in compliance with relevant laws and company procedures.
• Organize travel arrangements and coordinate with different teams for efficient workflow and administrative support.
• Manage shareholder-related duties, including supervising share allotments and transfers and addressing shareholder inquiries.
• Ensure statutory compliance with ACRA, including timely filing of annual accounts, maintaining registers, handling notices of share transfers, changes to the Constitution, and other regulatory requirements.

Ideal Candidate:

• Degree in Business Administration or related field (or equivalent professional experience).
• Qualified Corporate Secretary with relevant certifications.
• At least 3 years of experience in a corporate secretary, governance, or compliance role, ideally within a corporate environment.
• Experienced in governance, compliance, and regulatory matters, with a solid understanding of statutory requirements.
• Highly organized, demonstrating strong communication skills and attention to detail.
• Discreet and trustworthy, capable of handling confidential information with integrity.
• Proactive and skilled at coordinating with multiple stakeholders across various departments.
• Knowledgeable in setting up virtual meetings using platforms like WebEx or other conference call tools.
• Proficient in Microsoft Office Suite, including Outlook, PowerPoint, Excel, and Word.

Responsibilities

• Responsible for a portfolio of Trust accounts. The incumbent will perform bookkeeping of all transactions within the stated timeframe and ensuring ongoing accuracy and completeness of financial records for the JTC Trust accounts.
• Responsible for the timely and accurate preparation of unaudited Trust and Underlying Entities financial statements based on agreed template with JTC.
• Ensuring that all relevant bank statements and working papers are appropriately saved within the relevant accounting system.
• Ensuring that all accounting timelines are met and all queries are answered correctly and promptly.
• Liaising with the relevant Trust Officers on missing bank statements, online access and any transactions queries.
• Any other duties as and when assigned by head of department.

Requirements

• At least 3 years of Trust Accounting experience or relevant
• Experienced candidate will be considered for a Senior Executive role and will commensurate with remuneration
• Experience working in Singapore accounting or audit firms.
• Attention-to-detail, careful and precise.
• Self-motivated, proactive, and capable of meeting clients' deadlines.
• Excellent organizational, analytical, and influencing skills.
• Excellent verbal and written communication skills.
• Solid problem-solving and business sense.
• Knowledge of ViewPoint is a plus.

As a member of the Facilities Management Team, your job scope includes the following:

• Assist the Facilities Manager in all aspect of operations and building maintenance
• Coordinate with the team on various facility matters and assist in various operations issues
• Assist to monitor the efficient operation of the building’s systems and equipment
• Convene and conduct joint inspections for unit take over and hand over to tenant
• Ensure proper documentation on all processes within a tenant fit out folders for official recording of all proceedings within the document controller’s record system
• Monitor site works quality and compliance with Tenancy Designer’s approved design and statutory authorities regulations
• Oversee the tenant’s fit-out program and conformance to Company’s requirement
• Able to spot problem areas

• Responsible for maintaining the property management system for Facilities department
• Supervise a team of Technicians

Requirements

• Diploma/ Degree in Engineering or Building Management
• Minimum 2 years of related experience in property management or commercial building administration
• Highly motivated, meticulous and willing to be cross-trained in various aspects of facilities
• Team player with good communication and organization skills
• Perform multiple tasks effectively

Job Description

• Oversee the product quality from assembly to packaging process and ensure full compliance to the Quality System and regulation requirements.
• Champion data-driven decisions to resolve non-conformances, complaint investigation, CAPA, deviation and other quality matters in a timely manner.
• Interfaces with R&D, unit quality, customer quality engineer to formulate plans and actions to meet product specifications and quality requirements
• Drive quality improvement/automation projects through project planning, scheduling inspection/testing activities, performing analysis and publishing reports.
• Perform test method validation, installation qualification, correlation study for new quality equipment/test method.
• Act as a support role for regulatory, external, internal and/or supplier audits and lead the value stream members to execute the corrective actions for compliance with customer specifications.
• Perform data analysis and trending for product quality performance through monthly and quarterly management review meeting.
• Establish and maintain effective system and procedures to ensure that all manufacturing and engineering documentation are controlled and updated per established regulatory requirements.
• Supervise quality technical specialist and a group of technicians on quality tests and checks.
• Safety & ISO 14001 Environmental accountability: Ensure a safe, healthy and environmentally-friendly workplace by observing Company's rules and procedures. Active involvement in prevention, elimination of potential safety hazards and participation in activities which promotes recycling, replacement and reduction of resource materials.
• Perform any other tasks as assigned.

Preferred Requirements

• Minimum 3 to 5 years relevant working experiences in a quality engineer role.
• Demonstrated good understanding of key elements of Quality Management system, CFR Part 820, ISO 13485.
• Have prior experience in managing quality improvement projects would be an added advantage
• Able to effectively multi-task and work independently with a high level of initiative
