Roles & Responsibilities
As Relocation Executive, you need to be able to assist the Senior Managers as point of coordination and transferring assignees while maintaining the highest levels of customer service. This includes managing expenses at the lowest possible level for the client while contributing to optimum revenues for our company.
Main Responsibilities
· Under the allocation from the client, administer and manage the process of the relocation for the assignee and family from their pre-decision trip to arrival through to settling in and ongoing support management. This may also include services like preview trips, home searches, school searches, settling-in, and departure.
· Make timely contacts with vendors, client, realtors, 3rd party providers and designated assignees within given Key Performance Indicators (KPIs)
· Coordinate with all internal departments/functions to ensure successful assignee experience.
· Remain up to date on local nuances as well as current affairs trending in the international community including but not limited to, knowledge about the housing market, international schools, recreation, healthcare, public transportation, groceries, expats lifestyles/activities, domestic help etc.
· Keep abreast with industry and regulations changes that will have an impact to our line of work and affect the process flow
· Update external and internal portals in line with KPI. Make sure entries are complete and accurate.
· Ensure that communications, reports, documentation and all tasks are done timely and accurately.
Administrative Support
· Assist Senior Managers with back end co-ordination (scheduling and making inquiries) as part of program planning and completion
· Data entry, auditing of suppliers’ invoices against services rendered, ensuring correct clients / RMC / supplier contact information in database, and assisting with various reporting requests such as data filling reports
· Invoicing & Billing Matters
Tenancy Support
· Review contract for terms regarding landlord/tenant responsibilities for maintenance, breakage, damages, etc.
· Contact tenant within specified timeframe to brief and facilitate the ongoing support process
· Act as a liaison between the parties to solve any problems. Maintain an issue log/record of calls and actions taken.
· On-site presence or assign property inspector to evaluate repairs/damages and manage contractors may be required
· Send advanced notice to Tenant on upcoming renewal and lease termination. Propose cost saving measures/damage control if there is pre-termination of lease.
Oversee tenancy closure/departure files
