Duties and Responsibilities

• Provide a “best in class” service to all clients.
• Always maintain and inspect all conference rooms and pantries in good and clean condition.

Key Responsibilities:

• • Assist the Head of Human Resource in all daily tasks and matters in the Human Resource Department.
• • Manage full spectrum of HR functions, including recruitment and orientation, training, payroll and IR8A submission, work pass and Man Year Entitlement application, dormitory arrangement, incident reporting, medical, insurance and work injury claims, employee profiles and leave management, overseas deployment, promotions and resignations.
• • Coordinate with Operations Department in project executions, including fulfilling manpower requirements, site registrations, inductions, swab test registration.
• • Implement HR-related programmes and policies, apply for HR-related certifications and grants, establish internships and industrial attachments with educational institutions, participate in recruitment fairs and organise Company events.
• • Perform asset, inventory and financial reconciliation with Accounts Department and generate monthly reports for Management.
• • Use HR and payroll software as well as Enterprise Resource Planning system to complete daily tasks and assist in the implementation and improvements of the systems.
• • Ensure procedures, products and services rendered comply to Company policies, government regulations and ISO standards.
• • Maintain historical records for annual accounting and ISO audits.
• • Undertake additional tasks and responsibilities when required or as instructed.
• • Experience with MOM EPOL/WPOL, HR and/or payroll software.

Scope of Work

Research Grant Administration

· Provides effective administration of research grant call applications and management of awarded grants

· Assumes the role as SAP Concur reviewer and first-level approver and work with the Finance department to provide the fastest and smoothest approver flow.

Communication of Research Information

· Creates weekly research e-newsletter to communicate information on internal and external grant calls to faculty and research staff members.

· Develops content for the school’s website for research grants, projects and achievements.

· Develops Research-related publications (Research Brochures /Pamphlets)

· Assists with the organisation of the monthly WKWSCI Speaker Series (Research Talks).

Monitoring Research Budgets and Assets

· Monitor budgets and expenditures relating to research grants

· Monitor deadlines for the submission of expenditure reports as well as progress and final report

Requirements

· Bachelor's degree from a recognised university

· Proven administrative skills including the ability to handle data with accuracy.

· Excellent reporting with some finance working knowledge would be essential.

· Preferably 2 to 3 years of relevant work experience. Prior working experience in an academic institution will be an advantage.

· Competency in Microsoft Office applications (Excel, PowerPoint, word).

· Ability to do content management and creation of information on research (Website, social media and newsletters)
