Key Responsibilities

Your Role

We are looking for an experienced Personal Assistant to provide high-level confidential support to the Director by delivering full secretarial and administrative service to an International Human Resource & Immigration company.

What Will You Do

• To manage Director's calendar, for meetings, events, expense reports, and claims submission.
• To plan and schedule meetings according to Director’s requirements.
• To coordinate internal meeting arrangements for the Director.
• To prepare and compile meeting materials, such as presentation decks, files, reports and other information.
• To follow up with relevant parties to ensure timely submission of materials prior to the meeting.
• To attend meetings or discussions with the Director and record minutes, including person's responsible for the follow-up action points and timeline for completion.

RESPONSIBILITIES

• Conceptualise and deliver world class global events to support the growth strategy of Corporate & Investment Banking (CIB), working closely with key business stakeholders from Corporate Coverage, Transaction Banking, Global Banking & Markets as well as Corporate Affairs, Brand and Marketing (CABM) teams across our footprint
• Plan, develop and execute high-impact programmes to build brand advocacy, showcase thought leadership and deepen key client engagement. These initiatives may include, but are not limited to C-suite roundtables, global summits, hospitality experiences and high-profile sporting sponsorships.
• Implement the Global Events strategy, optimise key sponsorship assets and provide end-to-end management of client and delegate engagement programmes.
• Identify and cultivate strategic partnerships with industry stakeholders, event organisers and global platforms, staying abreast of industry trends and competitor activities to inform event planning and sponsorship strategies.
• Be the custodian for client events experience, providing consistency in approach and messaging across all touchpoints to increase brand association and strengthen CIB’s proposition. Develop global playbooks for selected events, share best practices and support local market adaptation.
• Collaborate with Digital Marketing & Content team to drive amplification of events across a spectrum of digital, social and traditional media channels to intended audience profiles
• Support production of engaging content and marketing collaterals to highlight insights, client deals and emerging themes on trade, innovation and sustainability, working in partnership with the steering committee and/or relevant teams.
• Monitor and analyse proprietary flagship events and sponsorships to evaluate returns on investment, distilling insights from client surveys and brand perceptions for continuous improvement.
• Oversee usage of events management platform and tools such as Cvent and provide guidance and best practices for users for various channel modules (On-Arrival, Appointments, CrowdCompass).
• Manage and partner a set of third-party vendors, event agencies, creative and media agencies to deliver a differentiated narrative and stellar client experience. Work with Global Sourcing and Legal & Compliance and lead quarterly business reviews with vendors to ensure high level of service continues to be delivered.
• Administration of marketing budget, ensuring timely reconciliation and processing of invoices.

Governance

• Accountable for the Global Event budget and scorecards
• Ensure adherence to the Risk Management Framework, Group Code of Conduct and various Policies, Procedures and Guidelines of the Bank by the regional CABM team

People & Talent

• Managing the relationships and leading the engagement of event management agencies and preferred vendors. This includes the identification and onboarding of new and approved vendors.

Risk Management

• Ensure all activities and in line with Sponsorship and Donation Policy.

Strategy Development and Implementation:

Building Integrated Service Model (ISM):

Research and Development Champion:

• Responsible for staying up to date with the latest research on ageing and incorporating relevant findings into their strategies and programs. Conducts regular assessments of the COMSA's integrated programmes to determine their effectiveness and efficiency. This involves analysing program performance data, identifying areas for improvement, and implementing solutions to enhance program outcomes.

Community Outreach:

• Engage with the community, including older adults and their families, to understand their needs and preferences. Oversee campaigns to raise awareness about available resources and programs and gather feedback to inform future strategies.

Communication:

• Act as a representative of the organisation, liaising with the public, the media, and other organisations regarding COMSA.

Entrepreneurial Innovation:

• Exploring innovative, entrepreneurial solutions to enhance service delivery and financial sustainability for the programmes. This could involve leveraging technology, developing new business models, or creating partnerships with other stakeholders.

Budgeting and Resource Allocation:

• This role often includes the oversight of financial aspects of all programmess; including the preparation and management of budgets, fundraising, and ensuring the effective use of resources.

Requirements:

• A bachelor's degree in healthcare administration, social work, gerontology, public health, nonprofit management, or a related field (master's degree preferred).
• Minimum of 10 years of relevant experience in program management and community engagement, with a focus on ageing-related initiatives.
• Proven leadership experience in non-profit operations, preferably in the community care/ elder care.
• Strong understanding of the needs and challenges faced by older adults and a passion for improving their quality of life.
