• Ability to manage multiple ongoing projects Project Execution & Oversight:
• Manage the entire lifecycle of multiple projects, ensuring on-time, within-budget delivery.
• Coordinate with internal departments (e.g., Marketing, Sales, Creative, Facilities, F&B) and external partners (e.g., vendors, clients) to meet project requirements.
• Track and report on project performance metrics and KPIs to executive teams and stakeholders.
• Identify and mitigate risks and challenges to keep projects on track.
• Ensure all project-related activities comply with regulatory and industry standards, especially within the automotive sector.

Team Leadership & Collaboration:

• Mentor and guide project team members, promoting best practices in project management and collaboration.
• Plan, organise and lead regular meetings, setting expectations, assigning tasks, and ensuring all team members understand project goals and timelines.
• Act as a primary point of contact between project stakeholders and executive management.

Client & Stakeholder Management:

• Build and maintain strong relationships with clients, stakeholders, and third-party vendors.
• Ensure client expectations are understood and met throughout the project lifecycle.
• Prepare and deliver project proposals, updates, and presentations to clients and senior management.
• Gather and incorporate feedback to continuously improve project processes and outcomes.
• Manage multiple stakeholder’s expectations across all categories from early stage to launch.

Budgeting & Financial Management:

• Prepare and manage project budgets, ensuring efficient allocation of resources.
• Monitor project spending, adjusting plans as necessary to stay within budget.
• Forecast resource needs and project financials, reporting regularly to finance and executive teams.

Required Qualifications:

• Education: Bachelor’s degree in Project Management, Business Administration, or a related field
• Experience: 5+ years of project management experience, with a strong preference for experience within the automotive, lifestyle, or consumer goods sectors.
• Technical Skills: Proficiency in project management software and budgeting tools.
• Automotive Knowledge: Strong understanding of automotive industry trends, lifestyle branding, and consumer behavior within this space.
• Communication Skills: Excellent written and verbal communication skills with the ability to interact effectively with clients, stakeholders, and team members.

Job Scope:

Half Day Work: AM/PM (estimated 80 hours per month)

Qualifications:

The responsibilities includes:

1. Coordinating meeting logistics, including booking of meeting room, preparing of meeting materials, organizing meals catering and obtaining necessary visitor clearances and approvals.

2. Assisting in documentation including creating of cover letter, scanning document for viruses, printing of documents, and ensuring submission and distribution of documents to the relevant parties.

3. Monitoring the status of project assets (OS patching schedule, asset virus scan schedule).

4. Updating of clearance list for project personnel and project assets.

5. Providing administrative support to the project team, assisting with day-to-day operations and project related tasks.

Pre-Requisite/Requirement

1. Previous experience in an administrative or project support role is highly desirable.

2. Proficient in Microsoft Office Skills, in particular Word, Excel and Powerpoint.

3. Able to work independently and in a fast-paced environment

4. Excellent written and verbal communication skills with the ability to interact effectively with colleagues at all levels

5. Solid organizational skills including attention to detail and multitasking skills

Duration: 1YR CONTRACT
