Responsibilities:

1. Recruitment and Onboarding

• Assist in the end-to-end recruitment process, including sourcing, screening, and shortlisting candidates for various roles.
• Coordinate and participate in interviews in partnership with department heads.
• Oversee onboarding activities, such as preparing offer letters, employment contracts, and induction schedules.
• Regularly review and update job descriptions to ensure alignment with organizational needs.

2. Employee Relations

• Serve as the primary point of contact for employee inquiries, resolving concerns promptly and professionally.
• Support the design and execution of employee engagement initiatives and programs.
• Foster a harmonious workplace by addressing employee concerns and escalating significant issues to HR management as needed.

3. HR Administration

• Manage and maintain accurate employee records in HR systems, ensuring compliance with legal and regulatory standards.
• Prepare and analyze monthly reports on employee attendance, leave, and payroll data.
• Assist in administering employee benefits, including health insurance, claims processing, and other entitlements.
• Organize and document personnel files, policies, and HR procedures for streamlined access and compliance.

4. Performance Management

• Support the performance appraisal process, ensuring proper documentation and goal tracking.
• Assist in the rollout of training and development programs tailored to employee needs.
• Monitor probation periods and contract renewal timelines, ensuring timely follow-ups and communication.

5. Compliance and Policies

• Ensure adherence to labor laws, company policies, and relevant regulations.
• Assist in drafting, updating, and communicating HR policies and procedures to employees.
• Conduct regular audits of HR documents and processes to maintain compliance and identify areas for improvement.

6. Administrative Support

• Plan and coordinate HR events, meetings, and training sessions.
• Manage HR-related correspondence, including notices, announcements, and memos.
• Prepare detailed reports and presentations for the HR department to support decision-making.

Requirements:

• Diploma/Degree in Human Resources, Business Administration, or a related field.
• 2–3 years of experience in an HR or personnel-related role.
• Familiarity with HR software and databases is a plus.
• Knowledge of local labor laws and HR compliance requirements.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Team player with a collaborative approach to tasks.

HR & Admin Executive

Job Responsibilities

Human Resources Management

• Develop and implement recruitment strategies to attract and select top talent through various channels (job portals, headhunters, campus recruitment, etc.).
• Manage the end-to-end recruitment process, including resume screening, interview scheduling, salary negotiation, and onboarding.
• Maintain and update the talent pool to meet future business needs.
• Administer payroll processing, benefits management, and employee leave records.
• Foster a positive work environment and address employee relations issues, complaints, and disputes.
• Organize employee engagement activities to enhance company culture.
• Develop and implement HR policies, ensuring compliance with local labor laws and company needs.
• Organize and facilitate training and development programs for employees.

Administrative Support

• Oversee daily office operations, including office supplies management, equipment maintenance, and facility management.
• Handle travel arrangements for employees, including flight bookings, hotel accommodations, and transportation.
• Organize company meetings, events, and internal communication activities.
• Maintain and update employee records and company documents (contracts, business licenses, etc.).
• Provide general administrative support to senior management, including calendar management and document organization.
• Collaborate with external vendors and service providers (e.g., cleaning, courier, maintenance) to ensure smooth operations.

Requirements

• Bachelor's degree in Human Resources, Business Administration, or related fields.
• At least 2 years of experience in HR or administrative roles, with experience in a similar industry preferred.
• Strong knowledge of local labor laws and HR best practices.
• Excellent communication, interpersonal, and organizational skills.
• Ability to manage multiple tasks and work under pressure in a fast-paced environment.
• Proficient in Microsoft Office Suite; familiarity with HR management systems (e.g., SAP, Workday) is a plus.
• Fluent in both English and Mandarin is a plus.
