Job Overview:

We are seeking a dynamic and customer-focused individual to join our tuition centre as a Customer Relations representative. The ideal candidate will be the first point of contact for students, parents, and visitors, ensuring a positive and welcoming experience. The Customer Relations role is crucial in maintaining a positive and professional image for our tuition centre.

Job Responsibilities:

• Greet students, parents, and visitors as they enter and provide a welcoming atmosphere
• Respond to inquiries from students and parents regarding course offerings, schedules, fees, and other relevant information
• Assist with enrolment process, including completing registration forms, explaining tuition policies, and collecting necessary documentation
• Schedule appointments for students and parents to meet with teachers or staffs as needed
• Handle phone calls and emails promptly and professionally, addressing questions and concerns effectively
• Collect tuition fees and ensure accurate recording of payments
• Manage, maintain and update student records, administrative documents and centre-related supplies
• Record all math questions in the system
• Assist in marketing activities, such as distributing flyers, promoting special events, and collecting feedback from students and parents
• Handle customer complaints and concerns with empathy, addressing and resolving issues to the best of your ability, and escalating as necessary
• Perform general office tasks, such as photocopying, filing and organising office supplies
• Inspect tuition centre and office regularly and report any non-compliance and support essential maintenance of facilities and equipment, coordinate with vendors for repair and maintenance of tuition centre as and when required
• Administrative duties and other ad-hoc duties as assigned

Job Requirements:

• Min. GCE O’ Levels
• No experience required, training will be provided
• Good interpersonal, oral and written communication skills
• Fast-paced working environment, able to multi-task and meticulous
• 44 hours per week, able to commit weekdays (inc. evenings) & weekends
• Tuesday to Friday – 2pm to 9:30pm (1hour – Lunch break)
• Saturday and Sunday – 10am to 9:30pm (1.5hour – Lunch break)

Accounts Receivable (AR) Management

· Oversee sales ledger, issue invoices, and conduct customer reconciliations.

· Monitor aging reports, follow up on collections, and process adjustments, credit notes, and refunds.

· Resolve billing issues in collaboration with internal teams.

Accounts Payable (AP) Management

· Manage supplier payments, reconcile supplier statements, and process electronic, GIRO, and cheque payments.

· Prepare Banker’s Guarantees, Letters of Credit, and resolve supplier credit balances.

Intercompany Reconciliation

· Handle intercompany billings, monthly reconciliations, and resolve variances.

· Work with group finance and entities for timely consolidation.

Cashflow & Banking

· Address internal and external banking-related queries.

· Payroll Accounting

· Prepare payroll journal entries and ensure accurate posting.

· Support commission payments as per commission structure.

Process Improvement & Compliance

· Identify and drive process improvements for AR, AP, and finance workflows.

· Support internal controls and regulatory compliance.

Other Duties

· Act as a key point of contact for AR/AP queries and support ad hoc assignments.

Requirements
