Job Overview:

We are seeking a dynamic and customer-focused individual to join our tuition centre as a Customer Relations (Front Desk) representative. The ideal candidate will be the first point of contact for students, parents, and visitors, ensuring a positive and welcoming experience. The Customer Relations (Front Desk) role is crucial in maintaining a positive and professional image for our tuition centre.

Job Responsibilities:

• Greet students, parents, and visitors as they enter and provide a welcoming atmosphere
• Respond to inquiries from students and parents regarding course offerings, schedules, fees, and other relevant information
• Assist with enrolment process, including completing registration forms, explaining tuition policies, and collecting necessary documentation
• Schedule appointments for students and parents to meet with teachers or staffs as needed
• Handle phone calls and emails promptly and professionally, addressing questions and concerns effectively
• Collect tuition fees and ensure accurate recording of payments
• Manage, maintain and update student records, administrative documents and centre-related supplies
• Record all math questions in the system
• Assist in marketing activities, such as distributing flyers, promoting special events, and collecting feedback from students and parents
• Handle customer complaints and concerns with empathy, addressing and resolving issues to the best of your ability, and escalating as necessary
• Perform general office tasks, such as photocopying, filing and organising office supplies
• Inspect tuition centre and office regularly and report any non-compliance and support essential maintenance of facilities and equipment, coordinate with vendors for repair and maintenance of tuition centre as and when required

Job Requirements:

• Min. GCE O’ Levels
• No experience required, training will be provided
• Good interpersonal, oral and written communication skills

Responsibilities:

• Ensure day-to-day smooth operations within the warehouse
• Leading a team of logistics assistants on daily warehouse operations
• Logistics and transport arrangement with delivery drivers to ensure on time delivery
• Conduct monthly inventory checks and update the system
• Prepare inventory reports and update management
• Ad hoc duties as assigned

Requirements:

• At least 1 - 2 years of warehouse/ logistics experience

Their responsibilities will include, but are not limited to:

Main Responsibilities:

1. Serve as the frontline ambassador and warmly welcome students, parents and staff, ensuring a positive and memorable experience.

2. When called upon, support admissions activities and events, including accompanying students for assessments, conducting tours for prospective families to showcase our school's facilities and offerings and making follow-up calls to families that toured the school.

3. Build rapport with parents and assist the Head of Communications & Parent Relations in collecting feedback, always maintaining a positive attitude and consistently striving for improvement and excellence.

4. Organise onboarding activities for new families, including but not limited to guiding them on the parent portal, organising parent and student lanyards, setting up canteen accounts and addressing enquiries.

5. Manage the Lost and Found department.

6. Maintain the reception area to align with brand expectations.

7. Be responsible for the day-to-day operations of Reception and assist in developing and implementing new procedures to enhance the Reception workflow.

8. Ensure adherence to safeguarding policies, particularly related to missing students and visitors’ access to the School.

Qualifications/Skills

The Role

The Customer Relations Executive performs customer service duties according to hospital’s standards and supervises and coaches the customer service team.

Key accountabilities

To cover duties at both Front Office counters at Mount Elizabeth Hospital main lobby and Medical Centre. Duties include:

• Provide directions and assistance to all internal and external customers by handling their requests and enquiries
• Assist with patient’s admission from Business Office to Ward and discharge from ward
• Handle specialist referral
• To conduct ward visitation for inpatients and ensure patient’s confidentiality at all times
• To go the extra mile and delight patient whenever possible
• To meet and greet VIP and provide necessary assistance
• To handle feedbacks from all channels and provide appropriate follow up actions/ service recovery
• To ensure all feedbacks and enquiries are attended to within 3 hours
• To ensure internal KPIs are met
• Coordinate and conduct Maternity Tours and Hospital Tours
• To conduct internal audits so as to ensure quality of service rendered
• To check Daily VVIP Listing prepared by customer relations officers for errors before list gets send out
• To arrange fruit baskets/ hampers for patients on VIP list and any ad-hoc requests by HODs of other departments
• To prepare weekly and monthly reports and invoices
• To prepare gifts and presentation for hospital’s festivity celebrations
• To plan monthly rosters and ensure sufficient daily manpower
• Participate in projects and assist in events
• To coach and guide officers, bellmen and valets when required
• To arrange and roster officers for relevant training and courses

For Customer Relations Executive (Vietnamese), in addition to the above stated, these services include but do not limit to the following:

• Assisting patient’s pre-admission procedures such as accommodation arrangements in Singapore and pre-registration
• Manage all requests of the patient during his/her hospital stay,

The Workplace Experience team supports the frontline operations and communications outreach across the three primary locations. The proposed manpower will be required to operate on-site services and the scope of work, but not limited to, is as follows:

• Provide on-site support various teams within organization
• Provide on-site frontline concierge service
• Provide on-site support for room and AV/IT systems management
• Support with provision of office supplies and employee indents through vending and parcel locker machines at the three primary locations when needed.
• Provide administrative and operational support for the daily topping up and up-keeping of pantries located at various floors across three primary locations.
• Manage the daily operations of the gym, including timely follow-ups on any maintenance works required to the infrastructure.
• Provide administrative support and content to drive the monthly promotion
• Provide administrative and operational support to plan, organise and conduct up to two monthly complimentary employee-related initiatives to improve employee productivity across the three buildings, such as sourcing and deployment of food trucks.
• Provide on-site wayfinding/assistance (e.g. lost-and-found) for public visitors at the Public Concierge, the proposed manpower will escalate the service requests/status enquiries/feedback to the middle office via the Employee Relationship Management System (ERMS) for case resolution
• Provide logistics and AV support for events organised within the three primary locations when needed.

Requirements:

• Diploma in Business Management or relevant discipline
• Strong service excellence mind-set
• Good knowledge of Microsoft Office software/applications (e.g. Excel) will be advantageous

• Location: Bukit Gombak, Hillview & Depot Road (Deployed to 1 location)
