Procurement Manager Requirements and skills

• Proven working experience as a Procurement Manager, Procurement Officer or Head of Procurement

• Knowledge of sourcing and procurement techniques as well as a dexterity in “reading” the market

• Talent in negotiations and networking

• Good knowledge of supplier or third party management software

• Aptitude in decision-making and working with numbers

• Experience in collecting and analyzing data

• Strong leadership capabilities

• BSc degree in supply chain management, logistics or business administration

• Reporting and operations

Responsibilities

To manage the Finance & Procurement Operations Team

Accounts Payable

Review new supplier requests

Assist in investigating and updating any payment details for payments that have been rejected, including communicating with relevant internal stakeholders

Monitor outstanding invoices and send notifications

Accounts Receivable (Revenue and Receipts)

Create and assist in the management of customer records

Account for all receipts (collection of moneys in the form of cash, cheque and credit card)

Prepare bank reconciliations and follow up on reconciliation items.

Fixed Assets Management

Perform asset adjustment transactions, including update of useful life, asset cost and impairment, asset transfer, etc.

Assist with the administration of stock take exercise(s) for FA.

Carry out monthly reconciliation of FA

Employee Claims and Administration

Employee Claims and Administration is administered in accordance to the Human Resource and/ or Finance policies

Prepare the required documentation (e.g., expense report and receipts) for Finance to seek reimbursement from external organizations

Liaise with all divisions on accruals of claims and preparation of journal entries for financial month/ year end closing

Donation Management

Liaise and work closely with internal stakeholders to provide support and advice on matters related to the administration and management of donations

Purchase Orders

Create PO(s) (acquisition/ donation of artwork/artefacts, etc) in relevant systems based on duly approved supporting documentation.

A Bachelor Degree in Accounting & Finance/Procurement Operations

Relevant working experience

Job Description

• Complies with the Company’s QSM and processes.
• Provide effective support to the Purchasing Executive and Procurement Manager for the purchasing process.
• Prepare and Issue Purchase / Work order (PO/WO). Ensure approval is obtained and proper closure of the purchasing activities for each technical purchase requirement.
• Follow up on Purchase Orders and ensure ordered items delivered on time.
• Take over duty of Logistics Support Assistant during his absence – duties as stated under Logistics Support Assistant.
• Ensures the proper information are entered into the Company’s electronic system as the system requirements.
• Maintains proper filings of physical records.
• Contributes and feedback to section / department manager on improvements to the management system.
• Assists where required, under the direction of the Procurement Manager.

Required Education and Experience

• Minimum GCE level in any discipline
• Minimum two years of experience in Purchasing role
• Good knowledge of technical, purchasing and logistics processes
• Good communication skills – spoken and written English
• Flair for Numbers
• Meticulous, attentive and careful in details and thorough in completing assigned duties.
