Position : Assistant Manager (Office Administration) – Workplace & Procurement

Contract period : Immediate (1 year)

Maximum $4900. Salary will be commensurate with experience.

Responsibilities

1. Mentor Executives in the following functions:

(a) day-to-day office operations and ensure that the office is clean, organised and runs smoothly and efficiently.

(b) maintenance of office equipment

(c) ensure office security systems are functioning properly

2. Submit accurate data/information to the Parent Ministry and other government agencies timely.

3. Monitor the receipt of e-invoices to ensure prompt processing.

4. Implement business continuity plans to address corporate risks.

5. Support Tote Board’s efforts in promoting sustainability.

6. Coordinate the office renovation project, including:

(a) close monitoring of project timelines

(b) ensure spending within budget

(c) ensure issues and delays are brought to Management’s attention promptly

7. First point of contact for audit queries directed to the Workplace & Procurement team

Requirements

1. At least two years of relevant working experience.

2. Good analytical and communication skills.

3. Meticulous, innovative and resourceful, with the ability to multi-task.

4. Customer-centric and able to work well with multiple stakeholders.

5. Some knowledge in Procurement and Facilities Management would be advantageous.

Job Descriptions

• Pick, pack and organise online orders as per packing slip
• Ensure that the items are picked up by third party couriers
• Send and perform doorstep delivery for bulky orders to clients using the van if required
• Perform loading and unloading duties for incoming/outgoing shipment
• Assist the Warehouse Manager with other general warehouse duties
• Perform any other ad-hoc duties as assigned

Minimum Requirements

• Physically fit and able to lift heavy equipment (e.g. coffee equipment, oat milk)
• Experienced/comfortable with operating pallet stacker/pallet jack
• Ability to communicate in written and spoken English and a positive mindset and “can-do” attitude to continuously strive to make things better
• Possess a Class 3 Driver’s license
• Working Hours: Mondays to Fridays, 9am to 5pm
• Work Location: 68 Kallang Pudding

Job Scope:

• Lead, drive and in charge of warehouse operations, meeting customer requirements and achieving agreed key performance indicators
• Be the owner of warehouse processes and execute them in an efficient, effective and a timely manner
• Perform major tasks in warehouse operations which include receiving management, inventory management, order fulfillment and administration
• Manage and supervise a team of executives, supervisors and warehouse assistants
• Ensure operational documents and shipping documents are accurately and timely prepared to expedite customer shipments
• Ensure daily maintenance and housekeeping of the warehouse and equipment
• Ensure periodic inventory cycle counting
• Plan warehouse storage layout to achieve optimization
• Identify safety hazards in operations areas and proactively eliminate any risks
• Ensure staff work safely in a safe workplace
• Other duties as assigned by management

Requirements:

• Min 3 yrs of Warehouse experience
• Understand ZGST warehouse requirement
• Prior experience dealing with electronics component warehouse is a plus
• Good leadership skills
