RESPONSIBILITIES

This role requires the incumbent to be a competitive and trustworthy individual to develop and grow the social enterprise initiatives. He/she must be presentable, possess excellent communication and negotiation skills, and have strong business acumen.

Administrative Support

• Handle day-to-day operations including sales enquire and transactions including order processing and fulfillment
• Maintain accurate records of order data and updated Netsuite order management system.
• Prepare weekly sales performance and status reports for projects and services.
• Work with production centers on production schedules to ensure timely delivery to customers
• Collaborate with other departments to resolve order-related issues or discrepancies.

Accounts Servicing

• Develop solutions according to customers' needs
• Provide pre-sales and post-sales support to MINDS Social Enterprises' customers from MINDS Bakers, Craft, Perform, Wash, Workshop, Farm, Shop, and other project partners

Project Management

Vendor Management

• Manage relationships with partners/vendors to secure cost and operation competency

Market Research

• Conduct market research to identify selling opportunities and evaluate customer's needs
• Work with production centers and communications team to come up with marketing campaigns for new products and services

• Develop new business channels and initiatives

Graphic Design

• Conceptualise, design, and manage the production of marketing material including merchandise stickers, gift tags, posters, exhibitions and displays, eDMs, social media/digital communications, catalogs, and daily graphical needs.
• To provide creative support to e-commerce store gift order customisation requests, working with vendors to ensure projects are completed on time with a quality product
• Implement feedback and changes whenever possible or at the requests of the customers.

Website/Mailbox Management

• Manage SE E-commerce website for sales orders, promotions, new product listing, and last-mile delivery fulfillment.
• Maintain accurate records of stock inventory data and update the e-commerce website.
• Confirm product availability and coordinate with the production team for order fulfillment to ensure timely delivery to customers on the website.

The Accreditation Executive plays a critical role in ensuring that the schemes meet the required standards, maintain compliance, improve the operations as well as the outreach to targeted persons/companies.

The role will require the Executive to manage the respective accreditation programs – this involves outreach, implementing accreditation policies, procedures, and standards that comply with the approved framework.

This includes but not limited to reviewing the applications and ensure that they meet the required criteria, as well as compliance with the set standards, providing guidance and support to personnel seeking accreditation, answering any questions they may have and provide assistance with the application process. The executive will also need to maintain up-to-date and accurate records of all accreditation activities, including applications and compliance reports.

The executive will be required to outreach to the industry, liaise with various stakeholders, including accreditation panel, regulatory agencies (where applicable), and industry players, to ensure compliance with standards and promote the accreditation programmes.

Coordinating with the housekeeping department to update room status (clean, vacant, occupied). Communicating with security in case of emergencies or suspicious activities.
• Handling Payments and Financial Transactions: Processing payments for room charges, services, and other hotel-related expenses. Managing cash drawers, credit card transactions, and maintaining accurate financial records. Handling currency exchange for guests, if applicable.
• Maintaining Guest Records: Updating guest profiles with preferences, special requests, and contact information. Keeping accurate records of guest stays, room charges, and special services provided. Ensuring compliance with data privacy regulations when handling personal information.
• Bell Desk and Concierge Services: Assisting with luggage handling, transportation arrangements, and other guest services. Providing concierge services, such as booking tours, making restaurant reservations, or arranging tickets for events. Offering assistance with directions, local recommendations, and travel arrangements.
• Managing Room Inventory and Allocations: Monitoring room availability and updating the system as guests check in and out. Balancing room allocations to accommodate special requests or VIP guests. Coordinating with the housekeeping team to ensure rooms are ready for arriving guests.
• Safety and Emergency Procedures: Following protocols for emergencies, such as fire, medical incidents, or security threats. Keeping the reception area secure and monitoring who enters and exits the building. Assisting with evacuations or providing directions in case of an emergency.

Experience and Qualifications Required:

• Minimum 3 years hotel FO experience
• A good command of spoken and written English
• Pleasant appearance
• Good communication skills
• Problem-solving skills
• Friendly, Honest, and Detail-oriented
