Job Role & Responsibilities

• The responsibility to support and gradually undertake the entire on-boarding process for new employees is a fundamental part of this role. In addition, the role requires hands in involvement to meeting, interviewing and inducting new employees to better achieve a successful long term fit in the company.
• The responsibility to accurately and efficiently manage and maintain overall employee database records in information systems is expected. Also the incumbent will help produce up to date HR metrics and key indicators to support management decision making and direction.

Job Requirements

• The ideal candidate must possess at least a Diploma in HRM / HRD / Business Administration from a recognised institution.

Job Description

· Support internal accounting work including preparing monthly management accounts and financial statements.

· Coordinate and liaise with external service providers, including advisors, tax agents, corporate secretaries and auditors.

· Update weekly cash flows, and assist with quarterly GST filings, financial budgets, forecasts and cash flow projections.

· Maintain financial records and databases including fixed asset register, intercompany transactions.

· Responsible for bank account management and bank account opening, and assisting with AML/KYC checks.

· Support and assist with tax filings and payments, compliance reporting and statutory filings.

· Support the processing of payments and claims.

· Take on ad-hoc duties when necessary.

• To fully understand the structure of each deal & items stating in the checklist prior preparing the reconciliation template;
• Close follow up with Line Manager to ensure checklist is drawn up for each agreement prior the deal commences, making sure the checklist is updated whenever there’s changes to the deal;
• Setup contract details in system together with billing instructions to facilitate correct invoicing to customers;
• Update customers on the monthly slot charges with bunker update & ensure correct fixed slot invoices issued promptly to customers;
• Extraction of customers loading information – to scrutinize the report & probe agents for clarification on any data discrepancies, also follow up to ensure system gets updated with correct records;
• Submit reconciliation statement to customers on their slot usage against their slot commitment, it has to be drawn up accurately & submit within stipulated timeframe;
• Follow up with customer for the statement confirmation & ensure accurate & timely issuance of invoices;
• Handle queries raised by customers & resolve the disputes independently.
