Guest Relations Executive

Summary of Responsibilities:

The main responsibilities and tasks of this position are as listed below, but not limited to these:

• Assist guests with check in and checkout, and other cashiering duties
• Provide a warm welcome to guests on arrival and register them as well as issuing room keys by using the appropriate standards
• Efficient in assisting guests throughout their stay with any requirements, handling guest feedback, provide direction and give suggestions
• Handle guests’ mails, messages, and answering phone calls
• Maximizing room revenue by up-selling to a higher rate category and selling the highest possible rates for walk-in guests
• Comply with hotel and department policies and procedures at all times
• Maintains the privacy of all guests by ensuring that no details of the guests are disclosed to anybody
• Attend daily briefings and relevant departmental meetings
• Ensure the safety, security and loss control policies and procedures are compiled with at the front desk and back office area
• Supervise and ensure the smooth and efficient daily operation of the Front Desk, ensuring all hotel guests and visitors receive an optimum level of service and care at all times
• Ensure cleanliness and appearance of Front Desk and related areas
• Establish awareness of the Hotels fire and emergency procedure
• Ensure vigilance in regard to in-house credit matters and act upon any discrepancies
• Provide assistance of the Front Office areas such as Front Desk, Airline Desk, Groups, Rooms Controlling and Lobby Greeters

Qualifications:

• Minimum GCE ‘A’ level or equivalent, University degree preferred
• Minimum 2 years hotel front office experience
• Computer Knowledge, i.e. well versed with windows, internet explorer and word
• Technical knowledge in Front Office operations
• Basic supervisory skills, verbal and written skills, planning, decision making, training and development
• Read, write, speak English fluently

Job Description

• Handling and checking of LC (letter of credit)

This Position will support the Supply Chain/Customer Service funcion in Singapore, responsible for the day to day operations from a supply chain management perspective and strive for Total Customer Satisfaction (TCS) by resolving internal and external customer inquiries related to Customer Service function, serve as the primary link between the company, Service Provider (3PL) and customers. Responsibilities include coordination of logistics, which includes inventory control and consignment stock count reconciliations,processing and monitoring to ensure 3PL meets the required KPI standards such as replenish stocks on time, used products updated on time and follow up with PO’s for billing. Able to handle most assignments independently.

• Maintain full compliance with corporate Finance, Compliance and Regulatory & Quality policies and procedures and maintain all required records with regards to Customer Service and Inventory Management. • Inventory Management by analysing and monitoring consignment inventory level, (PAR), buffer stock level, usages, short expiry write offs, missing stocks write offs, burn down short expiry stocks in fast moving centers, weekly orders, stop shipment, products return to Herleen,.
• Assist sales department in product launch, product discontinuation, backorders, proctorship, quality hold and any others as deem necessary by Country Manager and Financial Controller.
• Perform consignment stock count at hospitals when required, analysis and reconciliation to ensure all discrepancies and inaccuracies are highlighted and addressed.
• Oversee Singapore Supply Chain to ensure all Supply Chain related activities done on time and deliver as per Sales / Customers’ need
• Manage 3PL warehouse to ensure smooth operations and meet KPI (to ensure all inbound,outbound, delivery, billing, monthly consignment stock count, annual stock count perform as per schedule)
• Provide guidance to non-supply chain stakeholders on supply chain/customer service-related matters; also provides formal and informal training to contribute to goodl collaboration across functions to achieve organization objectives.

The Sales Operations Executive will primarily support Sales team(s), which could be selling multiple events/products across regions. They will provide structured sales administration, Salesforce (CRM) support, data analysis & investigation, reporting, data management & floorplan management. The role will drive consistency and quality in the Sales teams and act as a key link between multiple stakeholders at a given time. Being able to prioritize tasks would be essential due to the multiple events that’s being required to handle. PRINCIPAL DUTIES AND RESPONSIBILITIES:
