Assistant Manager, Front Office

Summary of Responsibilities:

• The main responsibilities and tasks of this position are as listed below, but not limited to these:
• Assist guests with check in and checkout, and other cashiering duties
• Capable of defining, coordinating and managing a service delivery system utilizing resources, tools, data and service standards
• Ensure all guest relation services, behavioral and technical are maintained in accordance with the hotel standards and in line with hotel's strategic plan
• Maintain visible image of management at all times. Provide management presence by coaching employees in handling feedback
• Provide a warm welcome to guests on arrival and register them as well as issuing room keys by using the appropriate standards
• Efficient in assisting guests throughout their stay with any requirements, handling guest feedback, provide direction and give suggestions
• Handle guests’ mails, messages, and answering phone calls
• Maximizing room revenue by up-selling to a higher rate category and selling the highest possible rates for walk-in guests
• Comply with hotel and department policies and procedures at all times
• Maintains the privacy of all guests by ensuring that no details of the guests are disclosed to anybody
• Meet, greet and provide rooming for VIP guests
• Perform any related duties and special projects as requested by the Front Office Manager/Assistant Front Office Manager/Reception and Duty Manager
• Attend daily briefings and relevant departmental meetings
• Ensure the safety, security and loss control policies and procedures are compiled with at the front desk and back office area
• Supervise and ensure the smooth and efficient daily operation of the Front Desk, ensuring all hotel guests and visitors receive an optimum level of service and care at all times
• Perform any related duties and special projects as requested by the Front Office Manager/Assistant Front Office Manager/Reception and Duty Manager
• Comply with hotel and department policies and procedures at all times
• Maintain the privacy of all guests by ensuring that no details of the guests are disclosed to anybody
• Establish awareness of the Hotels fire and emergency procedure
• Ensure vigilance in regard to in-house credit matters and act upon any discrepancies
• Provide assistance of the Front Office areas such as Front Desk, Airline Desk, Groups, Rooms Controlling and Lobby Greeters
• Ensure strict compliance of the Credit Card Privacy – PCI and to the Cash Float SOP

Qualifications

• Minimum GCE “A” Level or equivalent
• University Degree Preferred
• Minimum 2 years hotel front office experience
• Read, write, speak English fluently
• Computer Knowledge, i.e. well versed with windows, internet explorer and word
• Technical Knowledge in Front Office Operations
• Basic Supervisory Skills, verbal and written skillsm planning, decision making, training and development
• Able to work in a team, i.e. caring about other team members and open towards other nationalities
• Detail-oriented, organized and very flexible with working exteded hours
• Able to work under pressure and independently
• Energetic with positive attitude
• Good interpersonal and communication skills

Job Description:

• Assist P&L Head to oversee, plan and manage daily logistics, warehousing, and transportation operations
• Perform continuous improvement activities on outbound/inbound logistic flows, cost savings and operational efficiencies
• Lead periodical stock take /cycle count, inventory adjustment and handle claim documentation on cargo damaged etc.
• Prepare management reports to ensure that the management has the relevant information needed to support strategic decision-making
• To oversee the warehouse safety to provide a safe and clean workplace for employees
• Ensure timely and accurately billing to customers
• Any other ad hoc assignment as assigned by the Management

Job Requirements

• Minimum Certificate or Diploma in Supply Chain / Logistics Management or Operations Management
• 5 to 8 years of 3PL / Logistics experience with at least 3 years in managerial/supervisory position
• A multi-tasker with strong initiative and self-motivated with good learning mindset
• Proficient in Microsoft PowerPoint and Excel with data manipulation skills ability
• Understand WMS, TMS, OMS
• Trained in 5S, Kaisan, TQM and/or other productivity management system
• Able to handle basic project and account management
• Able to work in 3D environment

Job Responsibilities

• Design internal audit procedures and work programs suitable to the business processes of individual job assignments.
• Evaluate and provide reasonable assurance that risk management, control and governance systems are functioning as intended to enable the organization’s objectives and goals to be met.
• Report identified risk management issues and internal controls deficiencies to the relevant stakeholders and provide recommendations for improving the organization’s operations, in terms of efficient and effective performance.
• Maintain open communication with various stakeholders as well as within the team, to clearly present issues and effectively bring across key points of a discussion.
• Contribute to internal department initiatives and other internal projects, as requested.
• Provide coaching to junior members of the team to help provide guidance and supervision.
• Support the Internal Audit Manager in the management of the team engagement during fieldwork to ensure that the team tasks are completed in a timely manner.
• Provide assurance of the governance conditions of the areas audited to help prevent recurring audit issues from occurring.
• Timely submission of work for review and assessment by the team managers.
• Timely escalation of audit issues noted that is value adding to the business.
• Execution of audit procedures that will effectively assess/detect the operating control environment in reaction to the situation noted during the audit fieldwork.
