We are seeking a skilled and dedicated IT Manager to join our team. You will be responsible for providing technical support, managing hardware and software systems, and ensuring the smooth functioning of our IT infrastructure. Your expertise will play a crucial role in supporting our employees and optimizing our operational efficiency.

Responsibilities:

1. Hardware Support:Manage and maintain CPU, laptops, printers, and door access systems.
   Assign laptops to new employees and troubleshoot any hardware issues.
   Troubleshoot printer and laptop issues and coordinate repairs or replacements as needed.
   Maintain extension lines and phone lines accordingly.
   
2. Active Directory (AD) Migration:Prepare and execute the migration of HQ laptops to Azure Active Directory based on regional requirements.
   Ensure a seamless transition while maintaining data integrity and user access.
   
3. User Account Maintenance:Manage user email accounts and associated licenses.
   Administer user access permissions and security settings.
   Assist employees with user account issues and password resets.
   
4. Vendor Management:Work closely with vendors for internal application management.
   Engage in discussions with vendors regarding new requirements, costing, and implementation plans.
   Collaborate with vendors to resolve any issues or system enhancements.
   
5. Software Support:Provide first-level support for various software applications, including SAP Business One, Enterpryze, Office 365 applications, and HR applications.
   Address user queries and technical issues, escalating complex problems to the appropriate teams for resolution.
   Stay updated on software updates and new releases to ensure smooth operations.
   
6. Software Deployment:Utilize your knowledge and experience to implement and deploy software, particularly ERP and operations-based applications.
   Collaborate with relevant stakeholders to ensure successful software deployment and user training.
   
7. Phone and Communication Systems:Manage and monitor all internal phone lines and communication systems used by employees.
   Coordinate with service providers to ensure reliable phone and communication services.
   
8. IT Infrastructure and Internal Control:Oversee the Internet, firewall, Wi-Fi, and door access systems in the office.
   Maintain internal controls in the IT area to ensure data security and compliance.
   
9. Solution Proposals and Asset Management:Identify opportunities to enhance operational efficiency and propose new solutions as needed.
   Maintain accurate records of IT assets, including hardware and software licenses.
   

Requirements:

• Proven experience in IT support and operations, with knowledge of hardware and software systems.
• Familiarity with Active Directory migration and management.
• Strong troubleshooting skills and the ability to resolve hardware and software issues effectively.
• Experience in vendor management and collaboration.
• Proficiency in supporting software applications such as SAP Business One, Enterpryze, Office 365 applications, and HR applications.
• Knowledge of software deployment processes, particularly for ERP and operations-based software.
• Familiarity with phone systems and communication technologies.
• Understanding of IT infrastructure, internal controls, and data security.
• Ability to propose innovative solutions to streamline workflows.
• Strong organizational skills and attention to detail.
• Asset management experience is a plus.

This position reports directly to Head of General Affairs. Closely working with Facilities, Finance and Operations, primarily but not limited to handling, and managing operations-related procurement and tasks.

Job Description:

• Assist the General Affairs HOD, lead in the daily operations of the Singapore office (HQ), Gateway (SATS Core A) and various warehouses island wide.
• Responsible for procurement of building & facilities, equipment to support operation, meeting users’ specifications and requirements at a timely manner and at the most competitive price(s)
• Facilitate business reviews to discuss best practices and issues and to ultimately improve supplier performance and strengthen business partnerships across teams.
• Benchmark rate information versus historic pricing and versus competition.
• Perform supplier spend analysis, including reporting to establish visibility of spend patterns by category, region, and supplier.
• Review and improve existing procedures and processes to improve corporate governance and consolidate users’ requirements to source for most competitive value buys.
• Ensure that all purchasing activities and documentations are carried out in a timely manner and in compliance with the HQ Procedures and Financial & Operating Approval Limits at all times.
• Ensure that the specifications and requirements are sufficiently detailed and complete for competitive quotes.
• Follow up closely with users on procurement process and attend to suppliers’ queries and clarifications when required.
• Manage tender interviews and conduct negotiations with suppliers.
• Manage procurement RFP’s, RFQ’s, and RFI’s
• Vendor and supplier management
• Support in project costing analysis, budgeting, and maintenance of approved budget
• Develop mechanisms and metrics to track supplier performance related to forecasting, delivery, quality, and cost.
• Support the creation of supplier scorecards to measure and track supplier performance.

Requirements:

• Preferably possess a diploma or degree in Engineering or Accounting / Finance discipline
• At least 3 years’ experience in procurement; Preferably in MNC environment or Building and facility works and services; Or Procurement experience in Logistics / Supply Chain / Warehouse operation is highly advantageous.
• Knowledge of MS office suites is essential.
