Job Scope

Support Clinical Project Managers (CPMs) and study team with administrative, documentation, TMF, budget management and logistic activities related to Clinical studies during the operational phase of clinical trials to ensure the timely delivery of quality data while complying with internal Standard Operating Procedures, applicable laws and ICH Good Clinical Practice.

• Supports high-quality electronic Trial Master Files (eTMFs). Performs set-up, maintenance (filing and approving documents) and archiving of eTMFs.
• Provides CRO oversight by developing eTMF guidelines, establishing review processes, and ensure the filing completeness.
• Manages documentation of clinical studies in compliance with Good Clinical Practices (GCP) and relevant Standard Operating Procedures (SOPs) and perform filing QC
• Supports CPMs with vendor creation, budget and invoice management: checking of good receipt and payments, uploading invoice information in Finance budget tool, assist on planning of commitments monthly and keeping track of actual spending for each study

• Assists study team in the quality check of protocols, informed consent forms and advertisement materials to ensure compliance with SOPs and regulatory requirements.

Requirements

We are seeking an organized, proactive, and detail-oriented Administrative Assistant to support the daily operations of our busy renovation company. The ideal candidate will play a key role in managing administrative tasks, coordinating office operations, and assisting in various aspects of project management. The Administrative Assistant will work closely with the team to ensure that the office runs smoothly and that renovation projects are executed efficiently.

Key Responsibilities:

• Office Management: Oversee daily office operations, including managing phone calls, emails, and visitor interactions. Ensure that the office environment remains organized and well-maintained.
• Scheduling & Coordination: Assist with scheduling meetings, appointments, and site visits for project managers and team members. Coordinate project timelines and track deadlines to ensure timely completion.
• Document Preparation: Prepare, organize, and maintain project documents such as contracts, invoices, change orders, and work orders. Ensure accurate filing and easy retrieval of documents for team members.
• Client & Vendor Communication: Serve as the main point of contact for clients and vendors, answering inquiries, providing updates, and coordinating necessary communications. Maintain positive relationships with stakeholders.
• Project Support: Assist with the preparation of project estimates, progress reports, and bid submissions. Coordinate with subcontractors, suppliers, and the internal team to ensure timely delivery of materials and services.
• Data Entry & Reporting: Manage project databases, enter data, and generate reports related to project progress, budgets, and timelines. Maintain accurate records of project costs and expenses.
• Procurement Assistance: Help with ordering materials and supplies for renovation projects, tracking deliveries, and maintaining inventory levels.
• Administrative Support: Provide general administrative assistance to project managers, executives, and other staff, including handling phone calls, filing, ordering office supplies, and maintaining office equipment.

Qualifications:

• diploma or equivalent; business administration or related field preferred.
• Proven experience as an administrative assistant or in a similar role, preferably within the construction or renovation industry.
• Strong organizational and time-management skills, with the ability to manage multiple tasks and deadlines simultaneously.
• Excellent written and verbal communication skills.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.) and familiarity with project management software.
• Ability to work independently and as part of a team in a fast-paced environment.
• Strong attention to detail and problem-solving skills.
• Ability to handle confidential information with discretion.
• Knowledge of basic construction or renovation terminology and processes is a plus.

Working Conditions:

• Full-time position, Monday to Friday. 9am to 5pm
• Flexible work schedule can work from home if needed.
• Office environment, with occasional visits to renovation sites.

The successful candidate will be a member of a translational team investigating and designing RNAi therapeutics for various epithelial disorders.

Responsibilities:

• Involvement in projects related to epithelial disorders.
• Perform wet lab experiments using techniques in molecular biology including immunohistochemical analysis, in situ hybridization and microscopy.
• Perform husbandry and genotyping of the laboratory’s mouse colony.
• Provide laboratory maintenance support and procurement activities.

Requirements:

• Bachelor’s degree in Life Sciences/Biomedical Sciences/Biological Sciences or related fields
• Experience in a laboratory environment.
• Willing to work with mouse models; prior experience is a plus.
• Excellent organizational and interpersonal skills and attention to details.
• Excellent oral and written communication skills.
• Highly motivated and passion for research.

· Drive Innovation with AI: Apply AI to large datasets, preparing data and comparing AI-generated insights with existing research. This is a chance to be at the forefront of leveraging AI for impactful customer experience improvements.

· Empower the Bank: Support to deliver engaging qualitative research training programs to Bank staff, ensuring standardized processes and high-quality learning experiences. Continuously improve training materials to align with organizational goals.

· Strategic Support: Contribute to the successful launch of new research initiatives across the region, managing projects effectively and collaborating with cross-functional teams.

Skills & Experience:

· Minimum 3 years of experience in qualitative research operations (relevant internships/studies count!). Quantitative research experience (survey design, Qualtrics) is a plus!

· Proven project management skillswith a track record of meeting deadlines and managing multiple stakeholders.

· Comfort and experience applying AI/algorithms to data analysis and able to write prompts is a bonus.

· Exceptional written and verbal communication and presentation skills.

· Proactive, innovative mindset with a passion for problem-solving.

· Meticulous attention to detail; a self-starter who thrives in a fast-paced environment.
