Department Administrative Assistant (12 months Contract, Renewable)

Venue: Woodlands

Working Hours: Monday to Friday 8am to 5.30pm

As a Department Administrative Assistant, you are accountable to provide support to ensure efficient operation of the team. You will be responsible for coordination of department meetings and appointments (including logistical and travel arrangements), providing general support on matters related to organization and communication as well as the execution of general administrative duties.

Responsibilities to include but not limited to:

• Arrange meetings and appointments and provide reminders
• Assist with meeting logistics
• Event Coordination as needed (Department All Hands, team building, team offsite events, training, etc.)
• Arrange and coordinate Team building, celebration activities, etc.
• Support TMs in HR related matters
• Assign and maintain area mailboxes, cubicles and offices
• File expense reports and ensure timely reimbursement
• Monitor and order office supplies
• Develop and carry out an efficient documentation and filing system
• Always maintain appropriate discretion and confidentiality
• Coordinate travel (e.g. visa application, travel claim, travel booking)
• Schedule suppliers and internal visitors meeting, office reservation, etc.
• Oversee new hire setup, systems, phones, cubical, etc as requested
• Process payment requests via Ariba/POs, p-card, AmEx, SAP as requested
• Distribute mail and packages

Qualification/Requirements:

• Min 2 years prior experiment in corporate environment with experience supporting senior leader
• Experience with working in a cross functional, multi-site team environment in multiple time zones is a plus
• Familiar with office automation tools and software (Office 365, Teams, SharePoint etc.)

Responsibilities:

• Perform general store operations e.g. receiving, packing and shipment
• Ensure work schedules and documentations are completed in a timely and accurate manner
• Optimizing warehouse space and adopt good housekeeping
• Ensure inventory accuracy of stocks at warehouse
• Responsible for ensuring proper receiving and issuance of raw materials/products.
• Check and verify quantity and condition of goods received with delivery orders/invoices
• Ensure the storeroom is tidy, neat and clean at all times
• Perform other ad-hoc duties as assigned by superior(s)

Requirements:

• Good team player
• Minimum 1 year of relevant experience
• Conversant in simple English
• Forklift license is “A Must”
