Dulwich College (Singapore) is looking for an Events Officer to join its Marketing team.
The Events Officer supports the planning, coordination, and execution of high-quality events and facility rentals at Dulwich College (Singapore). Reporting to the Event Manager, the Events Officer plays a key role in ensuring the smooth delivery of events by handling administrative, logistical, and operational responsibilities. This position works closely with internal stakeholders, vendors, and the broader school community to enhance engagement and foster a vibrant campus culture.
Detail oriented and insightful, the Events Officer should possess excellent communication skills and should be able to rally team members to implement events within tight schedules. They must be able to work well with people at all levels of the organisation and must be able to multitask numerous projects at the same time.
Strong project management skills sets and an equally strong sense of initiative and ownership are the core competencies required for this role.
Event Support and Coordination
- Coordination of pre-event planning including liaising with suppliers and vendors such as the onsite caterer, ICT and AV teams, operations, security, and academic staff.
- Coordinating events logistics on the day of the event. Working with the onsite operations and security teams and caterers to ensure correct set up and execution of the event.
- Administrative support associated with both internal and external events
- Monitor event timelines and ensure all tasks are completed on schedule.
- Liaising with the communications team to make sure all communications channels are regularly updated in terms of upcoming events.
- Production of event collateral and signage.
- Coordinating event registrations, managing attendee lists and communications to events attendees.
- Coordination of annual events calendar together with Events Manager and Assistant to the Head of College
- Serve as the Admin Manager for the school’s events webpage, maintaining up-to-date and engaging content for internal and external audiences.
Administrative Responsibilities
- Provide administrative support for the Events Unit.
- Handle administrative tasks such as preparing event checklists, updating event records, and managing communication with stakeholders.
- Assume the role of Event Lead for designated events, taking full ownership of the planning and execution.
- Assist the Event Supervisor in organizing and managing events with responsibilities for all administrative and logistical tasks, including:Liaising with speakers and guests.
Arranging flights, accommodations, and transportation.
Coordinating with vendors and managing contracts.
Managing event budgets and ensuring financial accountability.
Conducting rehearsals and virtual test calls where required.
- Monitor the progress of event planning and execution to ensure all milestones are achieved.
- Ensure compliance with policies and regulations while meeting all administrative and operational requirements.
Risk Assessment and Compliance
- Support the Event Manager in conducting risk assessments for events, ensuring compliance with health, safety, and safeguarding standards.
- Assist in preparing and implementing contingency plans to address potential issues during events.
- Ensure all event activities align with the school’s policies and regulatory requirements.
Duties and responsibilities of the role include:
Marketing and Community engagements
- Work with the Marketing team to develop appropriate promotional materials, using brand guidelines.
- Work closely with the Communications team to make sure events and activities are promoted across all relevant channels.
- Promote and develop revenue generating activities to optimise space utilisation of school premises (including the theatre, sports facilities, and meeting venues).
Marketing Projects Coordination
- Assist with planning biannual student and staff professional photography shoot in terms of managing the external provider, the onsite process and post event process.
- Oversee the management of College facility rentals, ensuring prompt responses to all inquiries and seamless execution of bookings. Cultivate relationships with vendors to build a portfolio of high-quality renters.
Community Outreach and Charities
- Collaborate with the Head of Marketing and other stakeholders t develop and execute initiatives that promote community outreach and charitable engagement.
- Work with local organizations, charities, and non-profits to coordinate fundraising events, volunteer opportunities, and donation drives.
- Ensure that community-focused events align with the school’s values and contribute to a positive impact on the wider community.
- Support the planning and implementation of charitable activities within school-wide events, such as auctions, awareness campaigns, and service-learning projects.
- Maintain relationships with community partners and represent the school at outreach and charity-related meetings or events.
The successful candidate will have:
- A degree, diploma, or professional qualification in a business discipline, or equivalent, or other relevant subject.
- A minimum of three years’ experience in a similar customer-facing events role including project management.
- Experience of negotiating vendor or supplier contracts and managing service provision.
- Experience of managing projects cross-departmentally.
- Experience working in an international environment would be desirable.
- Experience of coordinating with community groups in the organising of events would be desirable.
- Excellent organisational skills, and the ability to collaborate across the organisation at all levels.
- Strong communication skills and the ability to communicate effectively in English, both verbally and in writing.
- Outstanding customer service skills, and an attitude of ‘going the extra mile’ to meet customer needs and expectations.
- Ability to manage multiple tasks and work under pressure to meet agreed deadlines and goals.
- Ability to work autonomously with minimum supervision, managing own workload to ensure the highest standards of performance and customer service provision are achieved.
- Strong IT skills in using Microsoft Office.
- Flexible approach to work, and the ability to be agile in the requirements of planning and delivering events.
