Job Responsibilities

Cost Accounting and Inventory Management

• Responsible for accurate processing of month end journals (COGS and inventory related), perform accounts reconciliation, maintain and reconcile inventory ledgers, perform cost variances analysis and accruals including excess and obsolete (E&O) reserve analysis.
• Assist with preparation of month-end and quarter-end management reports (eg flux analysis).
• Support annual standard cost reroll/revaluation exercises and perform cost simulation

• Executive Support and Confidentiality:
  • Handle sensitive and confidential information with the utmost discretion.
  • Prepare and manage communications and documents, ensuring confidentiality and accuracy.
  • Facilitate communication and coordination by conveying the directors’ instructions and work arrangements to various stakeholders within the company.
  • Organize and maintain the directors' files, documents, and records in both digital and physical formats.
  • Assist the directors in researching and following up on matters within the directors’ responsibility, including chasing responses and triggering follow-up actions.
  • Manage the directors’ email and messaging app correspondences and serve as the primary point of contact, screening and prioritizing inquiries, and handling routine correspondence on behalf of the director.

  • Assist with and provide support for the Directors tasks
• Schedule and Meeting Coordination:
  • Maintain and coordinate calendars for the directors and managing appointments.

• Personal Assistance:
  • Manage the directors’ expenses and reimbursements.
  • Anticipate the directors' needs and proactively suggest solutions to improve efficiency.
  • Assist with and attend to the directors’ personal matters.
• Ad Hoc Tasks:
  • Efficiently manage and execute ad hoc tasks as assigned by the directors, ranging from project management to operational adjustments.
  • Adapt quickly to changing priorities and new challenges.

Requirements:

• Bilingual in English and Mandarin to liaise with Mandarin-speaking associates due to business communications needs.

Job Overview:

We are looking for a detail-oriented and proactive Admin Assistant cum Accounting to support our administrative and accounting functions. This role requires a blend of office administrative duties, and basic accounting tasks. The ideal candidate will manage office operations while assisting with day-to-day financial transactions and record-keeping.

Key Responsibilities:

Administrative Duties:

• Provide general administrative support to the team, including scheduling appointments, managing calendars, and coordinating meetings.
• Handle phone calls, emails, and correspondence with internal and external stakeholders.
• Maintain and organize office supplies, equipment, and filing systems.
• Assist with preparing reports, presentations, and other business documents.
• Support with travel arrangements and logistics for staff and visitors.
• Assist in coordinating events, meetings, and office activities.
• Perform other administrative tasks as assigned by management.

Accounting Duties:

• Process invoices, receipts, and payments in a timely and accurate manner.
• Maintain and update financial records and ledgers.
• Assist in the preparation of financial reports and monthly reconciliations.
• Monitor and track company expenses, ensuring they align with budgets.
• Liaise with vendors and customers regarding financial transactions.
• Support the finance team in managing accounts payable and accounts receivable.

General Support:

• Maintain a clean, organized, and efficient office environment.
• Ensure that accounting data is accurately entered and stored securely.
• Assist with ad-hoc administrative and accounting projects as needed.

Qualifications:

• Experience: Minimum 2 years of experience in an administrative or accounting role.
• Skills:

  • Proficiency in MS Office (Excel, Word, PowerPoint).
  • Basic knowledge of accounting software.
  • Attention to detail and accuracy.
  • Ability to manage multiple tasks and prioritize effectively.

Responsibilities:

• Assist in recruitment and onboarding process of Part Timer, including but not limited to, advertisement, application screening and interview coordination.
• In-charge of work pass such as SP/EP/LOC/Dependent Pass application, renewal, e-Issuance, and cancellation of work pass.
• Update and maintain employees' data in the system and personal files.
• Filing and maintain up-to-date file records to enable quick retrieval which including update staff PCP and address .
• Handle staff insurance and medical issues (claims, work injury compensation, etc.)
• Design and conduct new employee orientations.
• Other ad-hoc duties assigned by the management.

Requirements:

• Min Diploma in Human Resources, Business, Construction or related majors;
• More than 2 years of experience in a similar role, and experience in construction industry will be a plus;
• Knowledge employment laws ;
• Willing/able and eager to learn, enthusiastic, teamwork and problem solving is a must.
