We are seeking a dedicated Clinic Executive who can proactively address issues that arise in patient care and vendor liaison as well as to assist in the daily administrative operations of our clinic.

Job Scope includes and is not limited to:

Receptionist Duties:

• Answer telephone calls, and schedule patient appointments
• Answer queries about the clinic.

Administrative Duties:

• Obtain, key and maintain patient data records
• Provide clear guidance on basic clinical procedures
• Assist in patient health insurance claims process
• Assist in online billing system and claiming for panel insurances
• Manage internal and external communications
• Arrange hospital admission, laboratory, and imaging services when required
• Assist in the mediation process between patients and healthcare providers
• Manage the clinic's inventory count and assist to order stock and supplies when low.
• Oversee the purchasing, maintenance, and repair of clinic equipment when required.

Clinical Duties:

• Dispensing of medications
• Financial counselling
• Chaperone/Accompany the Doctor during consultation when required
• Ensure the safety and cleanliness of the premises and consultation rooms
• Sterilize medical equipment and sanitize designated areas.

Job Requirements:

• Minimum O'Levels or equivalent
• Relevant experience in clinic / healthcare setting preferred.
• Excellent interpersonal skills for liaising with patients, healthcare providers, and specialists, as well as the public.
• Excellent written and verbal communication skills.
• Excellent organizational skills to ensure that quality services are provided.
• Computer literate/savvy
• Able to work on weekends

Job Description

1. Insurance

· Liaise with insurance brokers on all company insurances and related insurance/claim matters

· Source for best insurance proposals and premiums

· Recommend and ensure insurance policies cover are duly checked

· To update all insurance folders timely

2. Purchase of vehicles & heavy machineries

· Coordinate with vendors on the purchase, from payment to delivery to registration for use in Singapore

· Arrange with internal departments on the delivery, registration, and training

· R&M contract application and renewal

· To update R&M records on warranty & maintenance schedule in admin records and SAP

· To update and maintain purchase records

3. Sales of vehicles & heavy machineries

· Prepare quotation, packing list and other required documents

· Coordinate with customer to arrange inspection and collection/delivery

· Update and maintain records

4. Building and Facilities Management

· Identify and perform necessary maintenance of Pollisum’s building and facilities

· Conduct inspection periodically to evaluate the maintenance condition and identify corrective actions.

· Ensure all contract works/routine servicing are carried out accordingly as specified in their contract agreement

· Negotiate contracts with service providers and handle renewals for expiring contracts

· To update and maintain record

5. Redevelopment – Foreshore

· Coordinate with consultant, main contractor, and government entities

· To update and maintain records

6. Meeting Coordination

· Schedule meetings and appointments ensuring participants’ availability.

· Prepare and distribute meeting agendas, supporting documents, and other pre-meeting materials.

· Manage booking and setup of meeting rooms, equipment, and virtual meeting platforms.

· Accurately record minutes of the meeting

7. Any other ad hoc duties as required by management.
