Overview:

We seek an organized, hands-on, and service-oriented Administration Manager to join our multicultural Singapore team, supporting office-related functions and administration projects from A to Z.

Key Responsibilities:

· Oversee the planning and ordering of corporate merchandise to ensure we have the right items.

· Support with various office operations (seating arrangements, mobile phone plans, lunch services, business card requests and courier services).

· Track office assets to ensure they are well-maintained and support a smooth work environment.

· Assist new joiners and employees with any administrative inquiries or requirements.

· Manage office bill processing, ensuring accurate records and timely payments within budget.

· Build and maintain positive relationships with tenants through effective contract management and prompt responses.

· Foster strong relationships with vendors and suppliers, including managing contract negotiations and performance evaluations.

· Assist with office maintenance activities to ensure compliance with safety standards and operational efficiency.

· Track expenses and prepare reports to provide insights into spending, ensuring adherence to budget.

· Oversee operations of bunker apartments, managing maintenance and tenant communications effectively.

· Manage warehouse inventory by monitoring stock levels and organizing storage for efficient order fulfillment.

· Assist with onboarding and offboarding processes in close collaboration with HR and Travel Desk

· Assist with planning and managing events ensuring all administrative aspects are handled effectively.

· Provide backup support for the Singapore administration team as required.

· Be available for after-hours or weekend maintenance work when necessary.

Responsibilities:

• Identify and mitigate risks in contract terms, providing expert advice on contract clauses, obligations, and liabilities.
• Evaluate contractual risks and implement effective risk mitigation strategies.
• Ensure compliance with legal and regulatory standards, staying informed of changes in construction and contract law.
• Oversee the full contract lifecycle from initiation through project completion and closeout.
• Monitor contract performance to ensure deliverables meet quality, cost, and timeline requirements.
• Manage variations, claims, and scope changes, assessing their impact on contract terms and project objectives.
• Ensure contract budgets align with financial targets by tracking project expenses and revenue.
• Approve and process payments to contractors and subcontractors, ensuring accurate billing and invoicing.
• Serve as the main point of contact for contract matters with project teams, clients, subcontractors, and suppliers.
• Communicate contract requirements, modifications, and potential issues clearly to all stakeholders.
• Address conflicts and disputes that arise during project execution, collaborating with legal teams as needed.
• Ensure fulfillment of all contractual obligations, conducting regular compliance audits.
• Supervise and mentor junior contract managers, providing guidance on complex contract matters.
• Lead training sessions for the team on best practices in contract management, risk mitigation, and compliance.

Job Requirements:

• Bachelor’s degree in Construction Management, Quantity Surveying, or a related field
• At least 10 years of experience in contract management and administration, specifically in the construction industry
• Extensive expertise in contract negotiation and administration
• Relevant experience in both public and private sector projects in Singapore
• Experience managing subcontracts effectively

Strong knowledge and practical application of local Conditions of Building Contracts

Responsibilities:
• Manages and leads a program involving one or more functions and project teams to drive the engineering development and implementation process for a subsystem or component of a product or service offering.
• Develop schedules, critical deliverables, budget, resource allocation plan, and other support requirements for assigned program.
• Coordinates activities of supporting project teams and internal and external development partners; tracks progress against established plan and makes decisions to alter or update schedule and resource allocation to meet product requirements and development schedule.
• Communicates program progress, escalations, and issue analysis to product stakeholders; collaborates with management and internal manufacturing and development partners to implement changes to product, process, or program plan to resolve escalated issues, produce solutions, and ensure adherence to budgets and established product roadmaps and schedules.
• Leads and provides guidance and mentoring to less-experienced staff members.
• Work closely with the system team and ODM for the commodity qualification plan/IUR configuration arrangement and resource review to complete the qualification on time.
• Tracing the commodity qualification status and working with the engineering team for issue debugging and solution implementation.
• Join the core team meeting to communicate the commodity status to the system team and highlight the critical issues.
• Create the mitigation plan for shortage risk.
• Work with the system team / ODM and coordinate cross-functional team to arrange resources to achieve the urgent qualification request.

Education and Experience Required:
• Bachelor’s or master’s degree in business management, Engineering, Computer Sciences, or equivalent.
• PMP/PMI certification preferred.
• Typically, 4-6 years’ experience. (with Panel or Camera or Battery industry field is plus)

Knowledge and Skills:
• Using project planning tools and software packages to create, manage, and track project results.
• Strong analytical and problem-solving skills.
• Demonstrated experience coordinating and directing matrixed teams and resources.
• Ability to create and manage program schedules, budgets, and resource allocation plans.
Ability to effectively communicate program plans, proposals, and results, and negotiate options at management levels

Key Roles and Responsibilities

• To formulate and carry out strategic procurement and contracts management supports for all directly invested projects
