Your new company

Located in Singapore, this is well established shipping firm. With demand increasing, it is seeking for a Legal Secretary to expand and grow a team of people.

Your new role

Reporting directly to the GC, you’ll be responsible for supporting local SG office on providing administrative and secretarial support to the legal team. Manage documents, including preparation, drafting, and filing. Assist with case support, including searches and document review. Handle insurance and vendor management, and financial tasks like payments and scheduling. Respond to correspondence and maintain calendars and documents.

· Provide administrative and secretarial assistance to the legal team

· Document management:

· Prepare and draft various documents

· File documents on the in-house legal platform

· Assist with drafting, proofreading, and editing agreements, letters, and documents

· Case support:

· Conduct case searches as needed

· Review and verify Charterparties, Addendums, Fixing Notes, and proforma CP

· Insurance and vendor management:

· Update slot declaration lists and declare newly chartered vessels to insurance brokers

· Liaise with insurers regarding certificates and respond to queries from other departments

· Manage external vendor communications and updates

· Financial and operational tasks:

· Monitor and process payments for invoices, insurance premiums, club invoices, and legal invoices

· Manage files, documents, and deadlines

· Schedule appointments and meetings, and maintain calendars

· Respond to correspondence, emails, and faxes

What you’ll need to succeed

To ensure your success in this role, you will need:

· Qualifications: Diploma in Legal Secretary/Business Administration or a related field

· Experience: 1-3 years of relevant work experience, with shipping sector experience being a plus

· Pleasant and dynamic personality

· Positive attitude and willingness to learn

· Meticulous, able to multitask, and willing to work overtime if required

· Ability to work independently and collaboratively as part of a team

· Think creatively and outside the box

· Strong skills in excel and ppt required.
