Principal Duties and Responsibilities

• Formulate and recommend policies, objectives and long-range plans to ensure the most effective operation of field sales activities. Disseminate and ensure compliance with approved policies, objectives and plans.
• Prepare annual/quarterly budgets and assist Marketing Department in preparation of key marketing strategies, sales forecasts by product and district. Supervise the development of sales estimates, review and approve forecasts.

RESPONSIBILITIES

The main responsibilities of this role are to ensure effective and efficient coordination of our Pool vessel operations. Liaise closely with the Pool partners, Fleet Technical Managers, Commercial, Bunker, Claims and Controls teams to identify opportunities within operations for effective fleet performance monitoring and management. Influence the fleet operations team and other associated stakeholders in aligning with the vessel performance management goals and objectives in optimizing TCE. Assist in developing KPI, scorecards, workflow charts, and process maps for the operations team with regard to vessel's operational performance.

• Responsible for daily vessel operations, including issuance of voyage instructions, planning, optimizing and managing voyage bunkers, appoint agents, optimize voyage PnL taking into account speed and tank cleaning instructions.
• Ensure that all financial requirements, funding and invoicing for each voyage are promptly arranged and correctly disbursed
• Process and ensure compliance with relevant charter party requirements and company procedures, relevant voyage or time charter operational information between vessels, brokers, charterers and agents
• Maintain account of bunkers on board and plan for optimized uptake for spot market ships
• Monitor and record all details of voyage performance including off-hire, stoppages and delays within the vessel voyage performance report system, including trends / gap analysis
• Identify opportunities within operational practices which influence performance of vessels
• Arrange all routine invoicing and funding for voyage costs, including agency appointments, non- compulsory pilotage and surveyors' attendance
• Check and advise as necessary relevant voyage, cargo and port documentation required by principals for raising demurrage and off-hire claims
• Maintain and manage all department / fleet operational records, files and databases as per departmental procedures and documentation system
• Render pre-fixture support to commercial department concerning any vessel information requirements, questionnaires, certification and scheduling
• Render post fixture support to commercial department as required during the course of the voyage with pertinent operational information, routing, ETA / ETD, cargo operations, terminal and navigational issues
• Render post fixture support to Claims & Controls team as required for follow up of voyage claims, including providing information on charterer claims, insurance claims & other insurance-related matters to Claims, Commercial and Insurance departments

• Lead and manage the Fleet Operations portfolio of activities and teams effectively so as to achieve the required business and organisational outcomes;
• Work in close partnership with Fleet Engineering, Fleet QHSSE, Fleet Sustainability and the Fleet Data and Digital teams and workstreams to enhance current processes, implement improvements and develop new processes;
• Ensure the required turn-out of harbour crafts (e.g. container vessels, harbour tugs, water supply barges and pilot launches) for operational deployment;
• Emplace the required strategies, plans and processes to ensure the Fleet is operationally ready for current and future business needs;
• Emplace the appropriate people, supply chain management, innovation, branding and organisational development strategies to ensure the Fleet is well-placed to thrive and succeed in a volatile, uncertain, chaotic, ambiguous and disrupted (VUCAD) world;
• Emplace the desired resource optimisation approaches and business continuity measures to ensure the Fleet remains resilient and functional in times of major disruptions;
• Work closely with internal and external stakeholders in both local and overseas entities and environments to achieve the required business and organisational outcomes;
• Work alongside trade unions, government ministries, regulatory bodies, industry associations, technology providers, institutes of higher learning and relevant stakeholders to achieve the required business and organisational outcomes; and
• Perform any other ad-hoc tasks as assigned.

Position Overview:

The Operations & Commercial Effectiveness Senior Manager will report directly to the General Manager of Asia Pacific to execute sales strategies that deliver results aligned with the commercial plan and manage operations and channel management. Collaborate effectively with functions such as sales, marketing, finance, commercial operations, IT and HR to anticipate challenges and remove obstacles to enable commercial impact.

Principle Duties and Responsibilities:

• Conduct annual strategic planning to analyze sales regions and territories
• Work with APAC Leadership Team to liaison between commercial operations, sales, marketing, comm ops, finance and all other internal functions impacting the commercial team in driving and fulfilling the following responsibilities:
  • Help identify and deliver on the needs of the commercial organization to successfully drive initiatives
  • Conduct quarterly business reviews with APAC GM with Commercial Leaders and Distributors
  • Manage monthly and quarterly business reviews, coordinate with stakeholders and ensure follow through with key initiatives that impact commercial strategy
• Partner with APAC Commercial Leaders in monitoring and increasing the sales force engagement though recognition, incentives, and surveys
• Assess current distribution & 4PL strategy and execute channel optimization projects in key markets by assessing margins and J&J network to ensure infrastructure supports strategy
• Conduct quarterly distribution reviews with stock and sales analysis and implement good distribution practices
• Ensure distribution/channel contracts and contracts with external parties and vendors are up to date
• Execute key channel/operations projects like the Korea J&J model
• Collaborate with Aachen/US counterparts to implement a long-term APAC supply and operations process
• Provide relevant analytics to the commercial team to guide strategic commercial plan

Job Qualifications:

• Bachelor's Degree required, Masters in related field or MBA preferred
• 10+ years of high-performance experience in the medical device cardiovascular space
• 5+ years of management experience of a field commercial team preferably within Abiomed
• Develop strong relationships with key stakeholders internal and external
• Demonstrated critical thinking in fast paced environment
• Ability to exercise judgment in selecting, methods, techniques, and evaluation criteria for obtaining results

Functions and Responsibilities

· Support Operator / Marine Superintendent in maintaining / updating HSSEQ management system

· Arranging and monitoring the progress of vessel vetting inspections from initial request to final close out and approval, including communications to the vessel, oil majors, vessel agents and relevant internal departments

· Attend Marine Department meetings, record minutes and distribute as required.

· Assist with updating, checking and maintaining the OCIMF Vessel Particulars Questionnaires (VPQ), updating internal records, customer and other Marine databases (SIRE, Q88, SIS3, CDI) as appropriate.

· Monitoring information flow from the fleet to the department to ensure all necessary information updates are received.

· Monitoring incoming mail from ships and correct distribution within office

· Monitor and record acknowledgements from the fleet.

· Assist with production of required marine department statistics.

· Assist with the documentation required for Management Reviews.

· To maintain and update all Fleet Notices, Circulars in the DANAOS on monthly basis.

· General administration work as required.

· Filing of Marine related weekly and monthly reports and documentation as received from the vessels/various other parties – moving to electronic filing and DANAOS.

· To ensure compliance with voyage instruction and to guide vessel master in accordance to the governing CP.

· Liaise with purchasers, vessel Superintendent and logistical service providers on planning for loading / unloading / transshipment of stores and spares.

· Monitor and review actual fuel consumption of vessels against budgeted consumption to ensure cost effectiveness.

· Monitoring vessel’s movement and performance and report to related parties.

· In any dispute against counterparty such as cargo damage or shortage, lay-time, underperformance and so on, to communicate for settlement based on charter party

· Clerical work such as filing shipping documents, entering voyage data into business applications.

· Assist with compilation of Insurance Claim documentation.

· Coordination with Master / Charterers regarding unplanned stoppages / repairs. Including follow up for OFF/ON Hire reports and instructions to master’s regarding Vessel side reports (to external parties) (Under guidance from Technical Supt)

· Monitor and support all vessels on operational issues (Loading / discharging / tank cleaning / grade change) (Under guidance from Marine Supt)

· Assist with post fixture activities as required (Cargo documentation (BL’s / LOI’s, Cargo quantity issues, Additional Insurance requirements (AWRP / KnR) (Under guidance from Marine Supt as required)

· Bunker ROB / Requirements of the vessel. Including notification to charterers (if required) and Intake quantity + segregation onboard. (Under guidance from Tech Supt and advise from Master as required)

· Agency appointment (as required) on owners’ behalf.

· To monitor the speed & consumption of all vessels to comply with respective Charter party requirements.

· Collect Customer Feedback.
