• Coordinate and oversee the annual fixed assets verification exercise of the designated Institutes. Work collaboratively with Institutes’ stakeholders to ensure compliance with the verification procedures and maintain accurate records of fixed assets.

• Work in partnership with clients in an advisory capacity, consulting on industry best practice and recommending creative, effective and appropriate solutions

Project Management

• Responsible for leading and/or supporting the planning and execution of multiple or complex key events for global clients and accountable for quality of projects delivered
• Manage, prioritize and oversee events from creative concept through initial briefing to reconciliation including but not limited to initial budget creation, timeline management, planning, onsite delivery and post event reporting
• Oversight of all elements of the planning process including but not limited to venue and supplier sourcing and management, rooming blocks, F&B, AV and build, registration and event apps, staffing, F&B, security, transportation, signage and branding, SWAG sourcing
• Create and maintain complex project schedules, internal and external project documentation including project and ops plans, internal master decks, client WIP decks, meeting agendas and meeting minutes
• Actively lead internal project meetings or client meetings
• Negotiate and review supplier contracts and for accuracy, ensuring thorough onboarding of suppliers following agency process
• Manage and ensure SLA’s (Service Level Agreements) are monitored and achieved throughout the event production process
• Key role in pitch development, research, writing and presentation as required
• Support on-going department initiatives to ensure the delivery of service excellence, as required
• Build strong supplier relationships globally, seeking excellence in all areas of execution and communication

Team Management

• Lead and supervise project teams, hold regular team meetings and manage communications between team members to ensure clarity and that all deliverables and timelines are met
• Work with team to ensure adherence to client requirements and expectations
• Be knowledgeable and update the team on best practices, new suppliers, services, and venues

Budget Management

• Responsible for fiscal success of individual programs and assigned accounts including accurate and timely budgeting and reconciliation of events
• Build competitive, accurate and detailed programme and pitch budgets
• Responsible for accurate budget reporting to clients and timely reconciliation of events
• Maximize and monitor opportunities for increasing value adds, savings, and cost efficiencies, by forming strong partnerships with trusted suppliers

Creative Management

• Brief creative and strategy teams on project requirements and ensure that output from these teams is delivered on schedule and to expected standard
• Be proactive with ideas and creative solutions, contributing fully in creative brainstorms to generate ideas for clients
• Continually look for innovative solutions and production methods

QUALIFICATIONS

• 8 - 10+ year’s event management experience, preferably in an agency environment
• Advanced project management skills, including budget creation, management, and reconciliation
• Advanced knowledge of digital and technical aspects of productions including but not limited to general sessions, awards shows, activations and/or experiential events
• Ability to delegate to project team members and assign clear roles and responsibilities
• Proactive attitude, independent and inquisitive, with high attention to detail
• Organised approach, with concise and clear written and oral communication skills
• Good knowledge of logistical aspects of all event types
• Pre-empt and be able to modify plans as necessary
• Displaying diplomacy in all situations and always stay supportive of your co-workers

ADMINISTRATION & GENERAL

Research:

Transaction Execution: Provide execution support to the senior team

• Assist in the preparation of company valuations, financial models, company marketing documents and client presentations
• Research background material and provide inputs for the preparation of key transaction documents:
• Client profiles
• Information Memorandums, Pitch Books and Teaser documents.
• Management presentations
• Work with the senior team on the financial model and analysis including:
• DCF analysis
• Valuation of companies based on comparable company analysis
• Precedent transaction analysis

Administrative: Provide administrative support to the deal team

• Responsible for all client files – hard copy and soft versions to be maintained and kept up to date and backed up on the server.
• Ensure that deal critical documents like NDA’s, Mandate letter etc. are stored correctly in hard and softcopy and backed up on server
• Set up and send out meeting and conference call requests
• Ensure that the closed deal process is followed (necessary client communication, preparation of tombstones, website updation, preparation of case study etc.)
• Regular document archiving , filing and appropriate destruction
• Creating and updating company databases in a timely manner
• Assisting the senior team in drafting client engagement letters
• Maintain client relationships by managing day to day inquires & obtaining appropriate information to execute assignments

Knowledge

• Knowledge of Investment Banking products like Term debt raising, working capital financing, project finance, structured products, M&A etc.
• Excellent industry analysis, financial analysis and modelling skills, including DCF, SOTP, Relative valuation, etc.
