Job Description

This is an operational position within the Asia Centre for Health Security (ACHS). The incumbent will be part of the team to support the core functions of the centre. Their duties would include supporting the administration functions, conducting education and training programs, convening meetings, and secretariat functions.

Duties & Responsibilities
Working under the direction of the Director and Head of Operations at the ACHS, the Senior Executive/Assistant Manager will be part of the team to support the core duties of the centre:
a) Centre Administration
- Support researchers to draft, review, negotiate and execute research agreements by working closely with researchers, collaborators and internal and external legal offices
- Liaise and support the centre's leads and research staff to meet the centre's objectives of the centre

c) Collaboration & Partnership
- Liaise and work closely with local, regional and international partners and collaborators, this includes providing support for policy roundtables and panel discussions and the building a network of experienced experts in health security

d) Provide secretariat support for the centre (Faculty Meetings, International Advisory Panel), this includes arranging of meetings, preparation of slides, notes of meeting, communication and dissemination of information, and collation of reports

e) Work closely with other offices in the school, e.g. finance, HR, IT and GHO and university, e.g. OLA, ODPRT, CPO to take forward all administrative tasks, including discussion, collaboration and problem-solving on complex situations

f) Other duties assigned by the Director or Head, Operations

Qualifications

• Applicants are expected to have at least a Bachelor degree from a recognised institution with at least five years of experience in an administrative position within the academic, research or healthcare sector
• Strong administrative skills and experience in supporting projects such as convening meetings, organise training and workshops, service contracts, financial administration, or equivalent experience
• Experience organising events, in-person and online is a requirement

The Talent

• Bachelor’s Degree Level Qualification in Engineering or a related field.
• Minimum of 8 years of EHS management experience in Construction / Addition & Alteration works (post WSHO registration).
• At least 2 years of experience managing EHS in operational settings.

Job Description

• To manage the 24-hour call centre with the assistance of the call centre executives and be contactable in case of urgent situations.
• Lead, manage, and motivate a team of call centre staff to achieve high levels of customer satisfaction, productivity, and performance
• Provide ongoing coaching, feedback, and performance reviews to ensure that all staff meet or exceed service standards and take disciplinary action if required
• Deal with escalated customer complaints, technical inquiries, and complex issues that staff are unable to resolve.
• Monitor call volume, response times, and service quality to meet established KPI
• Develop/amend and implement procedures for handling different types of customer inquiries, including emergency calls, service requests, and product questions
• Ensure proper call documentation and follow-up processes are followed to track issues and resolutions.

The Case Manager for the Youth Service plays a pivotal role in driving positive change for individuals, families, and communities facing transitional challenges. This position involves providing direct services to clients and facilitating rehabilitation and reintegration efforts.

· Ability to work within time-based programs to achieve desired outcomes.

· Self-motivated, able to work independently, and an effective team player.

· Excellent interpersonal and communication skills for working with youth-at-risk, young offenders, and their families.

· Skilled in case assessment, engagement, intervention planning, and prompt reporting.

· Experience designing, planning, implementing, and managing group work and programs, particularly in prison, youth centre, or residential facility settings.

· Knowledge of community trends and best practices to improve program impact.
