Job Scope:

Daily Operations:

• Man the ‘transportation’ and ‘carpark’ role-based email accounts.
• Ensure that the shuttle bus and carpark operations are operating smoothly by working closely with the vendors.
• Process invoices in Ariba for the following services:
• External Shuttle Bus – raise monthly PO / PR and invoices.
• Internal Shuttle Bus – raise monthly PO / PR and invoices.
• Check the monthly carpark’s Statement of Account (SOA)

Other Tasks:

• Investigate and handle 2nd level complaints / issues.
• Spot-check on vendors by conducting physical checks on the ground.
• Conduct audits on vendors and issue LDs for non-compliances.
• Manage event requests for use of carparks.
• Work with vendor for carpark maintenance and re-painting of carpark lots.
• Set up meetings for internal and external stakeholders.
• Analyze data on operational issues as and when needed.
• Keep proper records of documentation.

Working Arrangement:

Location: Nanyang Avenue

Salary: $2500 - $3200 basic + $30 mobile allowance

Working Hours: Mondays to Fridays (office hours)

Contract Duration: 6 months; from 20 Jan 2025 to 19 July 2025

Job Requirements:

• Diploma with at least 2 years of relevant work experience.
• Familiarity with customer service and/or transport operation would be highly advantageous
• Good verbal and written communication skills
• Strong problem-solving skills
• Comfortable working in a University Campus environment that requires regular movement and onsite observation across multiple locations
• Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
• Familiarity with Ariba is a plus

Responsibilities

• Assist in daily finance operations (includes payments, receipts, AP & AR transactions);-
• Assist in partial/full set of accounts and prepare balance sheet schedules and ensure timely, complete and accurate recording of accounting entries into MYOB accounting system;
• Posting of month-end closing journal entries;
• General office administration such as: filing, scanning, photocopying, archiving, office supplies;
• Assist in preparing documents for submission of government grant claims;
• Manage and handle documents, records and maintain an organized filing system.
• Any other ad hoc duties as assigned by Manager in-charge

Requirements

• LCCI or Diploma in Accounting
• Proficient in Microsoft Excel and Word
• Fast learner with strong sense of initiative & good communication skills- Able to work independently with minimum supervision

Responsibilities:

• Perform general bookkeeping and full set of accounting functions - handle daily operational AP/AR tasks including invoicing, payment, receipts etc.
• Perform monthly reconciliation and reports
• Debts collections - Contact customer to ensure that their payments are made on time
• GST filing
• Prepare monthly sales commission and checking of incentives.
• Handle any other ad-hoc hoc assignments and projects as assigned

• Knowledge of "XERO" Software will be advantage
• With at least 2 years accounting experience will be advantage
