We are seeking an experienced and highly organized Administrative Manager (Customer Service) to oversee the day-to-day operations of our office and ensure the smooth functioning of all administrative processes.

The Admin Manager will be responsible for maintaining a productive work environment by managing office resources, coordinating with various departments, and ensuring compliance with company policies.

This role requires excellent communication, problem-solving, and multitasking skills to support the team and ensure operational efficiency.

Key Responsibilities

• Liaise and assist external finance company on matters for payroll, company tax, and monthly general accounting admin
• New employee orientation
• Upkeep records of confidential information of employees and contractors
• Liaise with external HR company on work pass application
• Application and Maintenance of Company licenses with SPF, MOM, SFA and LTA.
• Work with external vendors to manage support software and AI automation systems
• Oversee and manage customer service/admin team in the execution of the following

1. Reviewing and validating customer purchase orders
2. Manage new customer account setup and credit approval
3. Processing customer order entry into Company Ordering Portal and SAP in a timely and accurate manner
4. Making direct contact with customers to resolve any order related issues
5. Managing backlog orders and work with internal parties to resolve any order and/or delivery issues not meeting promised delivery dates or project schedules
6. Ensuring orders shipped are invoiced in a timely and accurate manner, including obtaining support documents like proof of delivery

• Provide secretarial support to Managing Director and General Manager
• Management of office team for general upkeep of the office

Key Responsibilities

• Review tender specifications, contract terms, and project requirements to develop comprehensive tender proposals.
• Coordinate with internal teams and stakeholders to gather required information and align submissions with company capabilities.
• Develop and maintain a detailed schedule to manage multiple tenders efficiently.
• Analyze and interpret technical and commercial requirements to ensure compliance.
• Conduct risk assessments and identify potential challenges for each tender.
• Prepare competitive cost estimates and support pricing strategies.
• Lead and oversee the preparation of tender documentation, ensuring accuracy and professionalism.
• Negotiate and liaise with clients, contractors, and suppliers as necessary.
• Provide regular updates and reports on tender progress to senior management.

Requirements

• Proven experience in tender management, specifically in the electrical trade.
• Strong understanding of electrical systems, technical specifications, and project requirements.
• Exceptional organizational skills, with the ability to manage multiple tenders simultaneously.
• Excellent attention to detail and the ability to meet tight deadlines.
• Strong communication and negotiation skills.
• Proficiency in MS Office and tender management tools.

Warehouse Reorganization: Take the lead in reorganizing our current warehouse, which is in disarray. This includes creating a more efficient layout, labeling, and categorizing inventory for easy access and improved workflow.

Inventory Management: Assist in the daily management of inventory, ensuring accurate records of stock levels, and helping to minimize discrepancies.

Receiving and Stocking: Receive, inspect, and stock incoming inventory, ensuring all items are accounted for and properly stored.

Order Fulfillment: Assist in preparing and fulfilling orders, including picking, packing, and shipping products to customers in a timely manner.

Quality Control: Conduct regular checks to ensure that all products in the warehouse are in good condition and meet quality standards.
