Key Responsibilities

1. Supervision and Maintenance of GEAR-Up Room

• Supervise students in the GEAR-Up Room to ensure productive use of time.
• Ensure students clean up the GEAR-Up Room and canteen area before leaving.
• Oversee that all equipment is properly cleaned, switched off, and stored in the correct locations after use.
• Work with the Teacher-in-Charge (TIC) to organize or conduct structured activities in the GEAR-Up Room.

2. Supervision of Gym Room and Sports Hub

• Supervise and ensure the safety of students in the gym room and sports hub.
• Clean the gym room and sports hub after use, ensuring the facilities are tidy and safe for the next users.

3. Other Administrative Duties

Key Responsibilities:

• Manage emails and document transfers to SharePoint for internal access, primarily using Excel.
• Coordinate appointment bookings with various stakeholders.
• Ensure timely and accurate document storage in SharePoint within the next working day.
• Prepare weekly and monthly statistical reports for internal and external customers.
• Handle stress with quick turnaround demands from clinics.
• Independently manage feedback and resolve issues for external clients and internal stakeholders.
• Assist in proposal preparation, pricing requests, execution, and follow-ups.
• Collaborate effectively with sales, shared services, call center, operations, and other internal teams.

• Handle incidents and service requests raised via helpdesk and call center.
• Receive and prioritize emails based on urgency; reallocate within support teams and help in recovery actions to meet the TRO.
• Monitor the incoming demand through ISM tool and ensure right assignments on time.
• Perform scheduled tasks within Service Level Agreements (SLA) referring to standard operating procedures (SOPs).
• Manage service requests recording for monthly management reporting.

Your responsibilities will include but not limited to;

• Collective responsibility with the rest of the global support team to ensure the Service Management ticket queues are effectively managed based on priority & commitment.
• Effective management of your personal ticket queue.
• Fundamental to advanced troubleshooting for day to day incidents or requests from Illumina End Users involving hardware, software or networking. Ensuring that all efforts are captured on to the ticketing system.
• Basic Mobility Support
• Project Support and Potential Leadership of Project Initiatives (Large Scale IT Objectives).
• Basic Asset Management processes adherence to support ongoing accuracy of Asset Inventory Database and Stock. Effective management of hardware and software distributed to employees.
• Knowledge Base Usage, Reference and Collective Improvement.
• Timely support of End User Issues or Requests.
• Assisting hiring manager on onboarding process and preparation of IT equipment of new employees (IT portion).
• Occasional Creation of various forms of documentation. (Processes, Policies, Training Material, Quick Reference Guides, Knowledge base articles).
• Understanding of various metrics reflecting the group’s performance.
• Management of Project assignments and relevant activities as necessary in order to remain on-schedule for critical objectives.

The following core skills are highly desirable;

• At least 2 years’ experience in the IT industry and Customer Service Role
• At least 2+ years’ related experience with increasing responsibility in a Service and Support technical role for a midsize or larger organization (700+ user environment).
• Must possess excellent customer service skills and have the ability to interact professionally with a diverse group, executives, managers, subject matter experts and business users.
• Maintains a high degree of professionalism in actions, demeanor and dress.
• Requires a high level of expertise in both Windows and Apple operating systems, platform software and associated hardware. Understanding of networking principles and printing environments.
• Possess a strong technology background with the ability to execute a task or project to completion.
• Demonstrated ability to manage the full lifecycle of an End User computing environment from hire to refresh/retire.
• Organized and deadline driven with the ability to track multiple tasks simultaneously. Able to effectively set priorities and work well under deadlines with a strong attention to detail.

Job Overview:

• Provide technical support for internal staff and occasionally for clients. Responsible for troubleshooting, managing IT equipment, and handling onboarding processes. Ensure smooth IT operations within the agency and at client sites as needed.

Key Responsibilities:

• Troubleshoot and resolve hardware, software, and network issues.
• Set up accounts and IT equipment for new hires (onboarding).
• Install, configure, and maintain desktops, laptops, and mobile devices.
• Manage IT inventory and coordinate repairs with vendors.
• Provide on-site support for clients as needed.
• Ensure software updates, system patches, and security protocols are implemented.
• Document support requests and maintain user guides.

Requirements:

• Diploma/Degree in IT or related field.
• 2+ years of experience in desktop support or IT helpdesk.
• Proficient in Windows/macOS environments, Active Directory, and Office 365.
• Strong communication and problem-solving skills.
• Willingness to travel for on-site support when required.
