Job Description:
The Executive Administrative Assistant will provide comprehensive support to senior executives, including preparing budget reports and management updates for the business unit. This role ensures effective communication and smooth operations within the team by managing schedules, coordinating meetings, handling correspondence, and maintaining documentation. The role requires a high level of organizational skills, attention to detail, and the ability to work independently on tasks critical to business operations.
Key Responsibilities:
Executive Support
Serve as the main point of contact between executives and internal/external clients.
Manage executive schedules, including organizing meetings, appointments, and travel arrangements.
Handle executives’ requests, inquiries, and correspondence professionally and efficiently.
Budget and Reporting
Prepare, review, and submit budget reports, tracking expenses against forecasts for business units.
Collaborate with finance and other relevant teams to gather financial data for reporting.
Compile, analyze, and prepare presentations and update decks to management on the business unit’s performance, progress, and key initiatives.
Meeting and Event Coordination
Organize and coordinate meetings, including preparing agendas, taking minutes, and circulating meeting materials.
Arrange logistics for meetings, conferences, and events, ensuring all needs (e.g., venues, materials) are met.
Communication and Correspondence
Manage phone calls, emails, and messages on behalf of the executives, ensuring timely and appropriate responses.
Draft, proofread, and edit reports, presentations, and executive communications.
Documentation and Filing
Maintain an efficient filing and documentation system for critical records, ensuring confidentiality.
Monitor and manage office supplies, researching and ordering as needed to ensure operational efficiency.
General Administrative Tasks
Assist in preparing briefing documents, update decks, and reports for internal and external use.
Prepare and submit expense reports, timesheets, and other related documentation.
Qualifications:
Proven experience as an Executive Administrative Assistant, Senior Executive Assistant, or in a similar role.
Proficiency in MS Office Suite (especially Excel, PowerPoint, and Word) and familiarity with office management systems.
Experience preparing budget reports and presenting updates for executive review.
Excellent organizational skills and attention to detail with the ability to multitask and prioritize workloads.
Strong written and verbal communication skills.
High level of discretion and confidentiality when handling sensitive information.
Diploma or degree in Business Administration, Finance, or a related field preferred.
