1. Overview of the Company’s IT Infrastructure:

• Team Size: The IT in-charge will support a team of approximately 30–40 employees.

Primary Objective

The Merchandising Administrator is responsible to support all business reporting for the Merchandising department in all areas of the department especially in the functions of merchandising & brand marketing.

Description of the role:

The administrator will be based at the office and focus on providing administrative support to the department to ensure the smooth running of the department. The role would not be just limited to paperwork and may include various tasks as needed.

Key tasks:

· Managing/Updating/maintaining of all department – related documentation not limited to leave, medical eaves, overtime, claims and attendance.

· To assist in providing logistics support (as needed)

· Raise purchase requisition upon received any request from the installation team (Training will be provided)

· Assist in inventory management for tools/equipment/stock (as needed)

· Administrative tasks related to team support (as needed)

· Any other administrative duties tasked with.

· Assist in providing support to streamline the processes tasked with to ensure efficiency within the department

· Other duties will be assigned accordingly by Manager / Assistant Manager and/or safety coordinator.

Requirements:

Education

· N, O Level or Diploma of any trade

Knowledge/Experience/Others

· Minimum 2 years of hands-on experience in administration works.

· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

· Knowledge of basic accounting or finance practices

Responsibilities

· Monitor daily inventory levels against forecasted projections to ensure sufficient stock is available to meet customer requirements

· Coordinate with other departments to manage import returns for empty drop-offs and schedule export releases for empty pickups

· Coordinate local empty trucking for imports within the free period and ensure exports are turned in at the port CY within the cutoff time

· Monitor the creation of export laden bookings in the port system using COPARN EDI.

· Monitor the accuracy of EDI and EMS updates for local activities involving laden and empty containers

· Monitor long-aging containers for local imports and empty stock at the depot to ensure FIFO (First In, First Out) release

· Manage container maintenance and repair claims with third parties, ensuring resolution within the agreed timeline

· Manage customs formalities for importing and exporting empty containers.

· Address customer inquiries and complaints regarding container quality

· Verify invoices related to container logistics, maintenance, and repair

· Perform any other relevant tasks or duties as assigned by the Head of Department (HOD).

Requirements

• Min Diploma or Degree in Logistics and Transportation
• 3 years of experiences in Logistics and Shipping Industries
• Knowledge in government formality (Port Klang Authority and Customs requirement)
• Competent in Microsoft Office Applications
• Willing to work in Bukit Tinggi, Klang

⏰ Working Days: 5 days

• Manage Daily Accounting functions like Accounts Payable (AP), Accounts Receivable (AR), reconciliation and Fixed Assets Management
• Follow up and process payment for supplier invoices
• Prepare general accounting reports/cash flow
• Ensure all expenses are entered in accounting system on a timely manner
• Assist in month-end closing
• Prepare and compile accurate accounts reports
• Assist to calculation of vehicle expenses report
• Other ad-hoc tasks as assigned

Responsibilities

• Handling full sets of accounts for multiple entities, which includes invoicing, AR, AP, journal entries etc.
• Assist in monthly management reporting.
• Project costing, forecasting of cash flow, banking of cash collections and bank reconciliations.
• GST Submission.
• Assist in Annual Audit.
• Other ad-hoc accounting related duties.

Requirements

• Diploma / Degree in Accounting or Finance is required.
• Experience in Construction industry is preferred.
• Strong communication, writing and follow up skills.
• Able to work independently.
