Document Retention:

• Support the team in maintaining the records retention program to comply with business needs and regulations.
• Monitor key performance indicators for the records retention program.
• Upload and organize shipping documents into NetSuite according to company policy.

Track and Trace:

• Track inbound shipments daily to meet delivery deadlines.
• Prevent warehouse overflow by coordinating with Logistics Service Providers.
• Manage deliveries to prevent overflow issues at the Distribution Facility.

Support Shipping and Export Operations Compliance:

• Assist Outbound Operations in ensuring cargo readiness and coordinating with Forwarders.
• Review shipping documents for compliance with shipping practices and regulations.
• Perform other duties as needed.

Sales Coordinator (Indoor) / Senior Executive (Freight Forwarding)

Responsibilities:
• Coordinate with overseas agents (freight forwarders) to convert prospects into sales and grow overseas tradelines.
• Communicate regularly with freight forwarders to keep them informed on shipment status and ensure client expectations are met.
• Prepare and submit quotations to overseas freight forwarders based on their requirements.
• Understand the specific needs of overseas freight forwarders and align solutions accordingly.
• Follow standard operating procedures while ensuring smooth coordination between sales and operations teams.
• Maintain a high success rate of converting submitted quotations into confirmed business through continuous follow-ups.
• Primarily handle cross-trade quotations and develop relationships with overseas agents to expand business opportunities.
• Perform any other duties as assigned by management.

Requirements:
• Preferably possess knowledge of both freight operations and sales processes.
• Positive attitude and customer/sales service-oriented mindset.
• Minimum 2 years of experience in the freight forwarding (Air & Ocean) industry with exposure to both commercial and operational aspects, preferably with an ocean freight focus.
• Proven ability to develop business relationships with overseas agents/freight forwarders.
• Good teamwork skills and driven to grow the company’s business.
• Bilingual in English and Mandarin to liaise with Mandarin-speaking counterparts.

  • Ensure the accuracy and completeness of all shipping documents to comply with industry regulations and company standards.
  • Ensure accuracy in payment and billing operations.
  • Maintain an organized and efficient document control system for easy retrieval and reference.
• Logistics Coordination and Communication:
  • Coordinate delivery schedules and shipping arrangements with suppliers, customers and service providers to ensure timely and efficient transportation of goods.
  • Monitor all shipments and track their progress to ensure on-time deliveries to customers.
  • Communicate with suppliers, customers, and service providers for any discrepancies and claims.
  • Handle any unexpected delays or issues in shipping and work proactively to find solutions.
