Customer Service (Front Desk) Workflow
I. Overall Workflow:
- Arrive at the workstation 10 minutes early and dress appropriately for work.
- Turn on the computer, lighting, and necessary electrical appliances.
- Organize the front desk and clean the front desk area, check the cleanliness of the office area.
- Reception and registration of students, visitors, and other personnel.
- Conduct surveys and evaluations for potential students and communicate with them promptly.
- Handle all aspects of new student enrollment quickly and accurately: contract signing, invoicing, payment collection, etc.
- Answer phone calls and reply to WeChat messages.
- Handle student requests for leave, course transfers, withdrawals, etc.
- Clean the area before leaving work, check if lights, air conditioning, and other facilities are turned off properly.
II. Visitor Reception Procedure:
- Reception of Visitors:Maintain a good image, smile, and greet guests politely, and stop other tasks when receiving guests.
Thoroughly fill out the visitor registration form.
Bid farewell to guests politely when they leave.
- Answer phone calls with standardized language, be concise, clear, polite, and patient in inquiries and responses.
- Record the caller's name and contact information as much as possible.
- Update the telephone register and follow up on matters.
III. Post-Consultation Work:
- Inquire about the name, interested courses, and make notes.
- Provide school introductions, course schedules, and appropriate course introductions, and provide the location of the school.
- Arrange trial lessons or testing times and register them.
- Periodically inquire whether consulted students have recently come for trials or tests.
- After the trial, if there is no immediate registration, allow the customer to pay an intention deposit.
IV. Post-Registration Work:
- Record student names, genders, courses enrolled, and payment records.
- Remind students of class times, fix class schedules, and make registrations.
- Send course schedules to class students and remind them of class times.
