Job Description
The Property Admin Assistant supports the Property Manager and Property Executives in the efficient management and administration of properties. This role involves handling administrative tasks, maintaining records, and providing customer service to residents and stakeholders.
- Assist in the preparation and distribution of notices, circulars, and correspondences to tenants and stakeholders.
- Maintain and update property management records, databases, and filing systems.
- Prepare meeting agendas, minutes, and reports for management committee meetings.
- Serve as a point of contact for residents’ inquiries, providing information and assistance as needed.
- Handle and resolve basic tenant complaints or escalate them to the Property Executive or Manager.
- Maintain a schedule of preventive maintenance activities and ensure adherence.
- Assist in monitoring the completion and quality of maintenance works.
- Manage office supplies and inventory, ensuring availability of necessary materials.
- Perform general clerical duties, including photocopying, scanning, and filing.
- Assist with other administrative tasks and projects as assigned by the Property Manager or Executives.
Requirements:
- Previous experience in an administrative role, preferably within property management, is an advantage.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and property management software.
- Excellent communication and interpersonal skills.
- Strong organizational and multitasking abilities.
- Attention to detail and a proactive approach to problem-solving.
