Overview:
We are seeking a dynamic and detail-oriented Junior/Senior Operation Administrator Coordinator to join our team. The ideal candidate will play a crucial role in supporting our operations by ensuring efficient administrative processes, coordinating with various departments, and maintaining accurate records. This position requires excellent organizational skills, a proactive approach, and the ability to work in a fast-paced environment.
Key Responsibilities:
- Administrative Support:Assist in the daily operations of the department.
Prepare and maintain reports, presentations, and correspondence.
Manage and organize files, records, and documents.
Handle routine office tasks such as filing, data entry, and scheduling.
- Coordination:Coordinate with internal teams to ensure seamless operations.
Schedule meetings, appointments, and coordinate calendars for the operations team.
Act as a liaison between different departments to facilitate communication and collaboration.
- Project Management:Assist in the planning and execution of operational projects.
Monitor project timelines and deliverables to ensure timely completion.
Prepare project status reports and communicate updates to stakeholders.
- Process Improvement:Identify areas for improvement in administrative processes and recommend solutions.
Implement and document new procedures to enhance efficiency.
Assist in developing and updating operational policies and procedures.
- Customer Service:Address inquiries from internal and external stakeholders.
Provide support and resolve operational issues as they arise.
Maintain a high level of customer service and professionalism.
- Data Management:Maintain and update databases with accurate and current information.
Generate and analyze operational reports to support decision-making.
Ensure data integrity and confidentiality.
Qualifications:
- Experience:Junior Level: 1-3 years of experience in an administrative or operations role.
Senior Level: 5+ years of experience in operations, administration, or a similar role
- Skills and Competencies:Excellent organizational and multitasking abilities.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with project management tools and software.
