Job Description

Job Purpose:

To assist with the M.Sc program(s), Graduate Certificate/Executive Certificate programs, Training Employment Pass (TEP) applications, Summer Programme, Non-Graduating Research programme, and other office ad-hoc duties. This job requires working closely with students who are working professionals and visitors from overseas.


1. M.Sc Program(s)
• Assist in planning and launching potential new self-financing coursework base master program.
• Identify target audience, design brochure, plan outreach activities and digital marketing strategies.
• Work with Office of Graduate Program (OGP) and relevant departments to set up program in systems such as Graduate Admission System and Edurec.
• Manage the program’s application and admission cycles to upkeep the program’s quality.
• Communicate with OGP to get application period.
• Plan marketing strategy to increase program exposure.
• Applications and admission: review and process applications, communicate with applicants via email for missing documents / degree clarification and update admission status in graduate admission system.
• Timetable planning.
• Student course registration.
• All matters pertaining to exam processing and graduation.
• Manage Program website content. Content including program overview, program admission information, program curriculums and program fees. The website content is expected to be updated at least 2 times a year or whenever there are new updates.
• Attend to all student enquiries.


2. Graduate Certificate/Executive Certificate Programs
• All administrative tasks– marketing, application, admission, registration, enrolment and graduation.
• Assist with class scheduling together with student cards’ printing and distribution.
• Prepare annual budget, manage expenses, prepare and submit SSG claim forms.

Ensure that SSG’s requirements are met through managing the programmes’ courses and submitting information/documents on TP Gateway.
• Prepare Letters of Engagement and submit OPWN payment requests for lecturers.
• Assist with payments to external advisors/speakers.
• Plan, organize, and assist with events in relation to the programmes.


3. Training Employment Pass (TEP) applications
• Assist with TEP applications: request for required documents, ensure that the documents are in order, issue Invitation Letters, submit TEP request with required documents.
• Assist with TEP issuance and receiving of TEP card.
• Assist with on-boarding matters for TEP visitors: issue temporary access card, create NUS visitor email account, issue letters for bank account opening purposes.
• Assist with TEP cancelation and off-boarding matters.


4. Summer Programme (overseas study field trip)
• All administrative tasks – application, admission, safety briefings, application for awards of financial funding.
• Be the point of contact for students’ parents for the duration of the field trip.
• Assist with meetings/events in relation for the programme.


5. Non-Graduating Research programme
• Answer queries on the programme.
• Advise and assist the applicants with preparation of documents.
• Obtain necessary approval for the applications. Indicate the outcome for the
applications in NUS Online Application Portal.


6. Any other ad-hoc duties

Job Requirements

• Bachelor’s degree with relevant experience
• Meticulous and demonstrates proactive behaviour, strong teamwork skills and the ability to handle.
• multiple tasks independently.
• Strong communication skills and service-oriented
• Effective oral and written communication skills
• Proficient with Microsoft skills.
• Open to fixed-term contract
