ACF is a nonprofit registered in Singapore and encourages philanthropic giving across Asia through Donor- Advised Funds (DAFs) for individual and institutional donors. The grant administrator is responsible for coordinating, administering, and managing grant-related activities within Asia Community Foundation. This role involves ensuring compliance with grant requirements, tracking grant-funded projects, preparing, and submitting reports, and maintaining accurate records of grant funds. The grant administrator collaborates with multiple stakeholders to ensure proper documentation of grant resources.
Key Responsibilities:
Grant Compliance:
- Ensure compliance with all grant terms, conditions, and regulations.
- Monitor grant-funded projects to ensure alignment with approved objectives and budgets.
- Coordinate and facilitate internal and external audits related to grants.
Grant Management:
- Manage the end-to-end grant management process, including gathering required documents, coordinating with stakeholders, and ensuring timely submission.
- Develop and maintain a grant tracking system to monitor key dates, deliverables, and reporting requirements.
- Prepare and submit grant-related reports to funders as required.
Budget and Financial Management:
- Work with the finance team to develop budgets for grant-funded projects and ensure proper allocation of funds.
- Monitor and track grant expenditures to ensure they align with approved budgets and guidelines.
- Work closely with the finance team to prepare donor advised fund and statements for internal review and external submission.
Communication and Collaboration:
- Coordinate with internal teams to ensure effective communication about grant requirements and deadlines.
- Collaborate with program/project managers to collect relevant data and ensure timely report submissions.
- Serve as the primary point of contact for grant-related inquiries from internal and external stakeholders.
Record Keeping and Documentation:
- Maintain accurate and organized records of grant applications, awards, budgets, and reports.
- Create and update grant-related policies, procedures, and documentation.
- Ensure proper retention of grant-related records in compliance with legal and organisational requirements.
Qualifications and Skills:
- Minimum of 5 years of work experience, with at least 3 years in a similar role preferred.
- Experience in grant administration, grant writing, or financial management.
- Strong understanding of grant compliance requirements and regulations.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in relevant software tools for grant tracking, budgeting, and reporting.
- Ability to work independently and collaborate with cross-functional teams.
- Attention to detail and accuracy in record-keeping and reporting.
