Job Description
General Administration
- Processing admissions and general coordination between internal departments within NUS and external parties
- Liaising with contracted lecturers, or external internship supervisors for needful documents and information
- Meeting coordination with internal and external parties
Event Logistics
Planning, coordination, and execution of approximately 10-12 sessions per year, including but not limited to:
- Venue booking and setup
- Vendor management (catering, equipment rental, etc.)
- Participant registration and attendance tracking
- On-site management during events
- Post-event breakdown and debrief
- For the ELSA initiative - Develop detailed operational plans for running training sessions lasting 3-6 days, for approximately 4-6 runs each year.
- Coordinate venue bookings, equipment setup, catering, and transportation for participants and facilitators.
- Serve as the point of contact for participants, responding to inquiries and providing necessary information.
- Liaise with external parties (speakers, trainers, vendors) and internal departments within NUS to ensure smooth execution of events.
Marketing Collateral Creation
Development of marketing materials for each event, including:
- Digital content (emails, social media posts, website updates)
- Printed materials (brochures, banners, event programs)
- Branding assets to ensure consistency across all platforms
This is an hourly rated position.
Qualifications
- Minimum educational qualification of a polytechnic diploma or bachelor's degree
- Proven experience in event planning and management
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Proficiency in marketing and design software (e.g., Adobe Creative Suite, Canva, Microsoft Office)
- Ability to work flexibly and efficiently under tight deadlines
