Duration: 9 months, subject to renewal

Location: Lavender

Working hours: Mon – Thurs: 9.30am – 7.00pm, Fri: 9.30am – 6.30pm

*Due to nature of events, commitment on weekday evenings and weeknights may be expected and will be compensated in off-in-lieu.


Job Description

1. Co-ordinate and liaise with the various stakeholder, groups of volunteers and PA staff to manage all matters to admin and operations;

2. Liaise and work closely with the various groups of volunteers for briefings, site recces, training sessions and volunteer distribution / allocation plans, etc.

3. Provide administrative support including preparations of briefing slides, collation of information, compilation of volunteer lists, submissions and other documentations;

4. Assist in the liaison with contractors on all logistics set-up and decorations for event and other events organised by Arts & Culture Division;

5. Assist in the liaison with contractors on all logistics set-up and decorations for event and other fringe events;

6. Enhance existing event volunteers recruitment, engagement and database management, including conceptualising digital/physical engagement activities, training programmes, gathering and bonding sessions that adheres to safe management measures, identify;

7. Ensure smooth operations on key rehearsals and show days by devising and managing strategic operations plans, including but not limited to deployment of Staff and Volunteers, signage plan and logistics set up and deployment.;

8. Support administrative and Secretariat work such as stakeholders engagement, procurements and contract management, collation of sensitive data for security clearance, support and monitor e-archival of key documents;

9. Clearance of subsidies payment as part of event accrual;

10. Administrative support towards Admin & Ops and Production Team;

11. Assist in asset housekeeping and management in inhouse and external stores;

12. Provide administrative and logistical support and assist in any other matters for the division.

  • Degree
