Admin Executive

Key Responsibilities:

  1. Administrative Support:Provide comprehensive administrative support to the sales team, including managing calendars, scheduling meetings, and handling correspondence.
    Assist in preparing and organizing documents, reports, and presentations related to grant applications, proposals, and project management.
    Maintain accurate and up-to-date records of client interactions, project milestones, and related documentation.
  2. Client Communication and Relationship Management:Serve as a primary point of contact for clients, responding to inquiries, scheduling meetings, and coordinating communication between clients and consultants.
    Assist in preparing client proposals, contracts, and agreements, ensuring accuracy and compliance with company policies.
    Foster positive relationships with clients through professional and courteous communication and proactive support.
  3. Grant Management Assistance:Support the application process by assisting with research, documentation, and data collection for proposals.
    Help maintain grant databases and tracking systems to monitor application deadlines, funding opportunities, and project progress.
    Assist in preparing reports, budget summaries, and other documentation required for documentation compliance and reporting.
  4. Office Operations Support:Provide general office support tasks, such as managing office supplies, coordinating office maintenance, and handling incoming calls.
    Assist with scheduling and logistics for meetings, conferences, and events, both internally and externally.
    Collaborate with team members to streamline administrative processes and improve office efficiency.
  5. Documentation and Recordkeeping:Ensure accurate and organized filing systems for grant-related documentation, both electronic and physical.
    Assist in maintaining confidentiality and security of sensitive information, including client data and proprietary documents.
    Support in updating and maintaining company policies, procedures, and templates related to grant consultancy services.

Requirements:

  • Diploma / NITEC or equivalent
  • Proven experience in an administrative role, preferably in a consultancy or nonprofit environment.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize workload effectively.
  • Excellent communication skills, both verbal and written, with a professional and customer-focused approach.
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and experience with database management.
  • Knowledge of grant management processes, funding sources, and nonprofit sector is advantageous.
  • Ability to work independently with minimal supervision and collaborate effectively within a team environment.

The Administrative Assistant plays a vital role in supporting the operations of the grants consultancy company, contributing to the success of grant projects and client relationships through efficient administrative assistance and professionalism.
