About the organisation
United Women Singapore (UWS) is a local non-profit organisation with IPC status that advances women’s empowerment and gender equality and builds a pipeline of women leaders and influencers in Singapore. The organisation has been operating for over 26 years and works towards narrowing the gender equality gap through education and raising awareness and advocacy on issues such as women’s empowerment and anti-violence, with the support of key stakeholders including corporate partners, government agencies, academia, the diplomatic community, other non-profit and community groups and the wider community.
Job Purpose
The purpose of the Associate, Accounts and Administration role is to support the organisation with appropriate accounting, human resource and administration functions. This includes managing accounts payable and receivable, maintaining financial records and assisting with financial reporting. Additionally, the role involves providing administrative support to ensure efficient office operations.
Key Responsibilities
Accounts Management
· Process and record accounts payable and receivable transactions including staff claims.
· Provide support for billing and invoicing processes.
· Coordinate with bookkeepers and external auditors to facilitate monthly accounting cycles and financial audits.
· Assist with the preparation of financial statements / reports and reconcile bank statements.
· Ensure compliance with internal policies and external regulations.
· Other accounting tasks as assigned.
Office administration
· Manage office supplies and equipment and maintain effective office systems including IT support, office maintenance, and supplier contacts, ensuring these are consistent with the organisation’s operating requirements.
· Be the liaison person with the relevant vendors and suppliers and manage procurement and other processes.
· Maintain a list of the approved vendors / suppliers and ensure it is updated at all times.
· Assist in the application of licenses / permits and reporting as required.
· Coordinate the process of preparation for Board Meetings and General Meetings, including scheduling meetings, preparing board meeting presentations and meeting minutes.
· Coordinate Membership Administration payment and process, and work with the relevant team members for membership engagement and satisfaction.
· Ensure the efficient running of the office daily operations including responding to external inquiries from clients, vendors, and staff.
· Support the logistics and operations of UWS events as necessary.
· Maintain clear channels of communication internally with the employees and externally with the stakeholders.
· Other administration duties as assigned.
Human Resources
· Maintain personnel records including employee contracts, leave records and other details.
· Coordinate recruitment, interview and induction process including on-boarding of the candidates as and when required.
· Ensure staff handbook is reviewed and updated as required to comply with the applicable regulations.
Requirements
· Bachelor's degree in Accounting, Business Administration, or a related field.
· Minimum of 1-3 years of experience in accounting, administration and related areas.
· Must be Singapore Citizen or Permanent Resident.
Skills
· Strong understanding of accounting principles and reporting.
· Proficiency in accounting software and Microsoft Office Suite.

· Excellent communication and interpersonal skills, with the ability to collaborate across departments.
