Crew HR Coordinator

KEY RESPONSIBILITIES and TASKS:


1. Selection and Screening of Applicants

a. Place job adds online not limited to Jobs bank, JobsDB etc.

b. Shortlist candidates and propose to hiring manager / technical manager for further interview if any


2. MOM Work Pass Application and adhere to its procedures including arranging employees

a. Education verification, medical, workman insurance and compliance to MOH regulations.


3. Administration of Employment Agreement (On-Shore and Sea staff)


4. Prepare Employment agreement for On-Shore and onboard staffs.


5. Process,Apply and Issue Employment Pass, Special Pass, Work Permits for Marine Employees as the operation dictates.


6. Work closely with overseas Crewing Team to ensure smooth documentation such as but not limited to, vessel joining documents, Seafarer Employment agreements, seafarer documentation.


7. Work closely with Crew Management Partner overseas to ensure smooth coordination between client and VGGS.

a. Work closely with the clients and agents locally to keep the progress of EP application and operational matters intact.


8. Update record of employees in the HR Crewing systems & in-house software.


9. Assisting with providing compliance in all areas of human resources. Update the tracking excel sheet of all employees and contractors’ work pass, work pass exemption & monthly Payroll processing of all shore-based employees.


10. To administer all employee Details coming from various Crewing Offices into Master data.


11. Responsible for preparing and issuing of Seafarers Agreement to the Crew.


12. To ensure prompt return of signed Seafarers Agreement from crew and acknowledge receipt


13. To collate all signed SEAs and upload into ShipSure (SS)


14. To ensure all crew correspondences/records are maintained in server and up to date in the SS system.


15. To support General Manager as and when is required
