What are we looking for?
We are looking for an Operations Executive (Orders Fulfillment) who possesses good attitude and can handle and respond promptly to customers’ enquiries. He or she must be able to listen actively and display empathy when corresponding over the phone or through chats in English and Mandarin Chinese, and to oversee and manage daily sales operations in our company, making sure that everything is running smoothly and according to schedule.
He/She should be a detail-orientated and organized representative who is able to work independently and as well as in a team structure. The candidate must responsible, self-motivated and comfortable with multi-tasking in a fast-paced environment. An easy going nature and possess good work attitude to best serve the interests of the organization.
1. Roles & Responsibilities
For B2B Corporate Business:
- To support the sales managers on handling administrative duties and processing orders and stock transfers requests.
- Serve and engage customers' phone enquiries with good attitude
- Attend to and resolve all customers’ feedback and enquiries promptly
- Report difficult cases to management
- Participate in planning and coordinating daily in-house delivery schedule for orders across all platforms
- Creating document for in-house deliveries
- Prepare supporting documents to account for goods returned
- Keep record of all relevant information obtained to handle enquiries and complaints, filing of signed DO and other important documents
2. For Ecommerce Platforms and Marketplaces:
- 1 – 2 years of experience in Sales Operations role or studied in a related field (Business etc.)·
- Processing and scheduling Ecomm orders using 3PL and inhouse deliveries.
- · Attend and resolve customers’ complaints via online platform chat/emails/calls to ensure customer satisfaction.
- Work with warehouse operations to ensure smooth fulfilment process
- Provide sales support to the sales team for creation of sales orders, delivery orders and update the stocks levels that require attention.
- Assist in stock replenishment or stock transfer requests with proper transfer procedures.
- Keep records of customers’ interactions, filing of DO and other important clients’ documents.
- Performs any ad-hoc tasks assigned from time to time.
- 1 – 2 years of experience in Sales Operations role or studied in a related field (Business etc.)·
- At least 1 year of working experience in the related field is required for this position.
3. Education & Skills Requirements:
- Diploma holder or GCE 'O' levels with customer service working experience
- Should be passionate about Customer Experience and Fulfillment
- Keen learning positive attitude
- Proficient in basic PC Skills
- Prior experience in coordinating delivery schedule will be an advantage.
- Good analytical skills
- A good team player who is able to communicate and collaborate effectively across the team and organization, as well with external parties
- Good knowledge with Microsoft Office & Google Sheets
- Ability to work in a fast-paced, start-up environment
- Possess good planning and organizing skills
- Prior knowledge on Shopify and Marketplaces would be an advantage.
