Job Summary:
The Business Support Executive is responsible for managing and executing various HR operational tasks related to general HR support, pre-onboarding, onboarding, and offboarding processes. This role ensures a smooth transition for employees joining, within, and exiting the company, maintaining a high level of accuracy, confidentiality, and compliance with company policies and legal requirements.
Key Responsibilities:
Pre-Onboarding:
- Prepare and send offer letters and employment contracts to new hires.
- Collect and verify necessary documentation from new hires, including identification, educational certificates, and previous employment records.
- Coordinate background checks and employment verifications.
- Ensure all pre-employment requirements are completed accurately and on time.
Onboarding:
- Plan and coordinate new hire orientation sessions to introduce company policies, procedures, culture, and values.
- Prepare onboarding materials, including welcome kits, employee handbooks, and training schedules.
- Facilitate completion of necessary paperwork, such as tax forms, benefits enrolment, and company policies acknowledgment.
- Set up new hire profiles in HRIS (Human Resource Information System) and ensure all necessary system access and hardware are provided.
- Serve as a point of contact for new hires during their initial period, addressing any questions or concerns.
Offboarding:
- Manage the exit process for departing employees, ensuring all necessary steps are completed.
- Conduct exit interviews to gather feedback and provide insights for organizational improvement.
- Coordinate the return of company property, such as laptops, ID cards, and access badges.
- Update HRIS and other relevant systems to reflect the employee's departure.
- Ensure compliance with legal requirements and company policies throughout the offboarding process.
General HR Operations:
- Maintain accurate and up-to-date employee records in the HRIS.
- Collaborate with other HR team members on various projects and initiatives to improve HR processes and employee experience.
- Support staff on general inquiries.
- Assist in ISO documentation and review for HR
Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, or related field.
- Minimum of 2-3 years of experience in HR operations or a similar role.
- Proficiency in HRIS and other HR-related software.
- Strong understanding of HR practices, labor laws, and regulations.
- Excellent organizational and multitasking skills.
- Strong communication and interpersonal skills.
- High level of confidentiality and professionalism.
- Ability to work independently and as part of a team.
