Roles & Responsibilities
In your day-to-day role, you will be responsible for:
- Project Management: Handling daily client interactions, leading teams, and overseeing every aspect of event management—from brainstorming and planning to budgeting, logistics, and execution.
- Client Relations: Building strong client relationships by understanding their event goals and offering strategic advice to ensure the events meet brand standards. You'll be the main point of contact, ensuring clear communication and high client satisfaction.
- Vendor and Supplier Management: Finding and evaluating vendors and suppliers, negotiating contracts, and coordinating their services to ensure smooth and high-quality event execution.
- On-Site Event Management: Leading teams during events, coordinating with vendors, managing setups, and addressing any unexpected issues to ensure everything runs smoothly.
- Budget Tracking: Creating and managing budgets, monitoring expenses, keeping accurate financial records, reviewing invoices, and conducting financial planning and analysis.
- Quality Assurance: Ensuring the highest quality in all event aspects—production, audio-visuals, catering, décor, and overall guest experience. Conducting post-event evaluations and implementing improvements for future events.
- Risk Management: Identifying potential risks, developing contingency plans, and ensuring compliance with legal, safety, and regulatory requirements.
- Industry Knowledge: Staying updated on event industry trends, design innovations, and technologies. Using this knowledge to drive sales and improve event proposals.
- New Business Development: Identifying and pursuing new business opportunities, conducting market research, leading presentations, and preparing proposals to attract new clients. Building a strong network to generate leads and foster business growth.
Requirements
To succeed in this role, you should have:
- A passion for Japan.
- Japanese language skills, conversational level, preferably Japanese Language Proficiency Test (JLPT) N3 level.
- A Singaporean Citizen or Permanent Resident in Singapore
- 3 - 5 years of experience in event management, preferably within an agency.
- A proactive and strategic approach to problem-solving, with the ability to make sound decisions under pressure and adapt to unforeseen challenges.
- Strong leadership skills with a history of leading teams to achieve exceptional results. Ability to motivate and mentor team members in a fast-paced environment.
- Proven ability to manage multiple projects simultaneously in a deadline-driven setting.
- A deep understanding of client needs and the ability to execute projects effectively and efficiently.
- In-depth knowledge of the events industry, current trends, and emerging technologies.
- Self-motivation and resourcefulness with high initiative levels.
- Excellent written and communication skills.
- Resilience, determination, enthusiasm, and flexibility to work evenings and weekends, and the ability to perform under pressure.
- Strong organizational and time management skills, with a focus on detail and the ability to prioritize tasks and meet deadlines.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook), Google Docs and Slack.
