Key Responsibilities:
- Monitor shipment ETD and ETA dates and ensure the receipt of shipping documents from the supplier.
- Liaise with suppliers regarding amendments or discrepancies during draft documentation checking and verification before requesting final documentation.
- Issue import work orders to forwarders and warehouses for import clearance and cargo receiving purposes.
- Coordinate with couriers for urgent OBL (original bill of lading) submissions from the bank to the carrier.
- Ensure the unstuffing report from the third-party warehouse provider is received within working days after unstuffing.
- Verify the accuracy of the unstuffing report and report any discrepancies, damage, or torn bags to the manager for supplier follow-up.
- Ensure a complete set of shipping documents (signed COA and Work Order, HC, Permit, damage photos if any) are available in SharePoint for each work order once posted in Navision.
- For CIF/CIP shipments, monitor damage quantities in the unstuffing report and submit insurance claims if they meet the criteria in the insurance policy.
- Submit claims to suppliers when necessary.
- Assist the Import Manager with report updates.
Transfer of Materials & Products
- Issue Transfer Work Orders upon receiving information from the R&D team.
- Monitor and ensure claims for damaged bags during transfer are submitted to the insurance company.
- Ensure sample bags are transferred promptly for sampling after unstuffing.
- Ensure transfer activities are updated in Navision on time.
General Duties
- Compile monthly GST reports.
- Prepare monthly Insurance Declaration reports.
- Verify shipping line and 3rd warehouse provider billing.
- Run weekly inventory reports for the warehouse.
Requirements
- 3-5 year(s) of working experience in shipping function in manufacturing company.
- Well organized and able to manage multiple concurrent tasks
- Candidates in Food Industry is advantageous
- Candidates with ERP knowledge is an added advantage
