Assistant Operation Manager

Statement Of Purpose (Overall Purpose of Job)

Responsible for supporting the operations in overseeing the day-to-day operations of the organization. This role involves collaborating with cross-functional teams, implementing operational processes and procedures, and ensuring the efficient and effective delivery of products or services to customers.

Major Duties & Responsibilities

(A) Specific:

  • Assist the Operations in planning, organizing, and directing the overall operations of the organization.
  • Participate in the development and implementation of operational policies, procedures, and best practices (Tender).
  • Monitor and analyze operational data to identify areas for improvement and optimization.
  • Coordinate with various departments (e.g., production, logistics, customer service) to ensure smooth workflow and timely delivery of products or services.
  • Collaborate with the Operations to identify and resolve operational issues, bottlenecks, and inefficiencies (Contractual).
  • Assist in the preparation of operational reports, KPIs, and performance metrics for management review (P&L).
  • Support the Operations in budgeting, resource allocation, and strategic decision-making

(B) General:

  • Budgeting and Cost Control: Assisting in budget preparation, monitoring operational expenses, and identifying opportunities for cost savings without compromising quality.
  • Team Management: Supervising and guiding landscape crews and maintenance teams, ensuring they have the necessary tools, equipment, and materials to carry out their work effectively.
  • Client Relations: Assisting in maintaining positive relationships with clients, addressing their concerns or inquiries, and ensuring high levels of customer satisfaction.
  • Inventory and Supply Management: Managing inventory levels of landscaping materials, plants, equipment, and supplies, and coordinating with suppliers to ensure timely availability.
  • Quality Control: Conducting inspections and quality checks to ensure that landscape installations, maintenance services, and other projects meet the required standards and client expectations.
  • Project Coordination: Assisting in planning, organizing, and coordinating landscape projects, including scheduling tasks, allocating resources, and ensuring timely completion with systematic tracking.
  • Reporting and Documentation: Generating reports, maintaining records, and documenting operational activities, including project progress, resource utilization, and client interactions.
  • Other duties as assigned.

(C) Safety:

  • To follow the safety procedures, rules and regulations and eliminate or reduce hazard at the work place.

Job Requirements

(A) Education, Qualifications & Special Training:

  • Degree or Diploma in Landscape Architectural /Design/Project Management.
  • Job holder without the above qualification but with relevant experience would be considered.

(B) Knowledge & Skills:

  • Knowledge & experience with horticulture & Arboriculture work.
  • Good interpersonal / Communication skills.
  • Independent & Team player.
  • Proactive and able to take initiative.
  • Good in negotiation.
  • Good communication skills (verbal and written).
  • PC literate and knowledgeable in MS Office/CAD/ PowerPoint.

(C) Experience:

  • Preferably with minimum 5 years of relevant experience / knowledge.
