Roles and Responsibilities
- Office Management
- Work closely with management team to execute daily office operations, ensuring smooth functioning of jobs
- Manage office supplies inventory and place orders when necessary
- Maintain office equipment and coordinate repairs or replacements as needed
- Communication
- Manage incoming and outgoing correspondence, including emails, phone calls, and mails and providing reminders to senior management
- Ensure effective communication within operations team and clients
- Documentation and Record Keeping
- Maintain accurate and up-to-date records for all diving jobs – service reports, doing up final diving reports
- Organize and manage both digital and physical documentation filing systems
- Preparing of diving reports, presentations, and documents as required by management or clients
- Work closely with management to prepare staff weekly allowance for payment processing
- Scheduling and Coordination
- Scheduling appointments, meetings, courses, diving medicals, and travel arrangements for management and staff
- Coordinate with clients, suppliers, and vendors to schedule services and deliveries
Job Requirements
- Proficient in Google Workspace, Microsoft Office Suite, WhatsApp Web
- Strong written and verbal communication skills, comfortable to interact with all levels of the organization
- Able to maintain confidentiality and handle sensitive information with professionalism
- Excellent planning and time management
- Detail-oriented and able to maintain accuracy in work
- Ability to multitask and prioritize daily workload
- Minimum GCE “O” levels or equivalent
- Business administration or related field would be an advantage
- At least 2 years working experience
- Candidates with relevant experience in marine industry will be an advantage
- Training will be provided
- Able to work with minimal supervision
