Job Summary:
St Luke’s Hospital is seeking a meticulous and detailed oriented executive to join our team. This administrative role is vital to the smooth operations of our training programs. The candidate will assist in providing administrative support to the operations of the Community Wound Centre and Academy and ensure smooth implementation of its policies and procedures. The ideal candidate will be a team player with excellent communication skills, a passion for lifelong development, and a keen interest in innovation. This candidate will be accountable to the Deputy Director, SLCWC and Academy and will work under the supervision of an assigned People Manager.
Responsibilities and Duties:
Learning Administration:
· Coordinate the training logistics and implementation of training programs
· Manage registrations and communicate with participants to ensure smooth sign-ups and participation
· Manage pre-training administration such as venue sourcing and refreshments
· Assist participants with queries and handling billing and invoicing arrangements
· Coordinate learner registration and attendance tracking
· Collate feedback and prepare evaluation reports
· Coordinate with internal and external stakeholders for publicity of training courses and logistical support
· Consolidate data to monitor take-up and completion rates for training programs
· Manage learner record database
· Provide administrative and logistical support for in-house and external training initiatives
· Undertake special projects as assigned
Stakeholder Management:
· Communicate with external stakeholders to provide relevant updates
· Document stakeholder feedback and queries
· Attend to stakeholder management issues and provide customer service support to address issues
· Support external funding application processes
Marketing:
· Support implementation of Academy’s multi-channel marketing campaigns in line with the objectives and strategy
· Support curation of Academy’s marketing content based on defined marketing objectives and strategy
· Liaise with internal stakeholders and external vendors in the creation of Academy’s marketing campaigns
· Monitor and track outcomes of marketing campaigns
Dept Events:
· Coordinate and provide administrative and logistics support for in-house training sessions
· Provide administrative and logistics support for Annual Wound Conference and other department events
Job Requirements:
· Diploma/Degree with minimum 2 years’ experience in Learning Administration, Project Coordination, Operations Support or Education Support
· Meticulous and detail-oriented with strong organizational skills
· Excellent communication and interpersonal skills
· Ability to work effectively in a team environment and yet able to work independently when required
· Prior experience in an administrative role and/or in the healthcare sector will be an advantage
· Proficient in MS Office applications and familiarity with database management
· Strong belief in lifelong development and passionate about innovation
