Marine Responsibilities:
- Support the Operator/Marine Superintendent in maintaining and updating the HSSEQ management system.
- Arrange and track the progress of vessel vetting inspections from the initial request to final approval, including communication with the vessel, oil majors, vessel agents, and relevant internal departments.
- Attend Marine Department meetings, record minutes, and distribute them as needed.
- Assist in updating, checking, and maintaining the OCIMF Vessel Particulars Questionnaires (VPQ), and update internal records, customer, and other Marine databases (SIRE, Q88, SIS3, CDI) as necessary.
- Monitor the information flow from the fleet to ensure all necessary updates are received.
- Handle incoming mail from ships and ensure proper distribution within the office.
- Record acknowledgements from the fleet.
- Assist in producing required marine department statistics.
- Aid in the documentation needed for Management Reviews.
- Maintain and update all Fleet Notices and Circulars in DANAOS monthly.
- Perform general administrative tasks as needed.
- File marine-related weekly and monthly reports and documentation received from vessels and other parties, transitioning to electronic filing and DANAOS.
- Assist with compilation of Insurance Claim documentation.
- Collect customer feedback.
Vessel Operator Responsibilities:
- Ensure compliance with voyage instructions and guide vessel masters according to governing CP.
- Coordinate with purchasers, vessel Superintendents, and logistical service providers for the planning of loading, unloading, and transshipment of stores and spares.
- Monitor and review actual fuel consumption of vessels against budgeted consumption for cost-effectiveness.
- Track vessel movements and performance and report to related parties.
- Communicate for settlement in disputes with counterparts such as cargo damage or shortage, lay-time, and underperformance based on charter party agreements.
- Perform clerical tasks such as filing shipping documents and entering voyage data into business applications.
- Coordinate with Masters/Charterers regarding unplanned stoppages/repairs, including follow-up for OFF/ON Hire reports and instructions to Masters for Vessel side reports (under guidance from Technical Superintendent).
- Monitor and support all vessels on operational issues (loading, discharging, tank cleaning, grade change) under the guidance of the Marine Superintendent.
- Assist with post-fixture activities, including cargo documentation (BLs/LOIs), cargo quantity issues, and additional insurance requirements (AWRP/KnR) under the guidance of the Marine Superintendent.
- Manage Bunker ROB/requirements of the vessel, including notification to charterers if required, and intake quantity + segregation onboard (under guidance from Technical Superintendent and advice from Master).
- Appoint agencies on behalf of owners as required.
- Monitor the speed and consumption of all vessels to ensure compliance with respective Charter party requirements.
Requirements:
- Diploma holder in a related field/discipline.
- Self-motivated individual with a minimum of 3 years of experience in the marine industry is essential.
- Must possess initiative and the ability to multi-task.
- Tech-savvy and adaptable to working with ERP systems.
